About the Role
We're looking for an organized, reliable
Administrative Assistant
to support our CEO and team at our Portland office. This is an onsite role focused on keeping schedules on track, travel running smoothly, and day-to-day office operations moving forward. The right candidate is detail-oriented, responsive, and comfortable handling a mix of tasks throughout the day.
Travel may be required to support the CEO or team during events, meetings, or off-site activities; including internationally.
What You'll Do
Support the CEO:
- Manage the CEO's schedule including calendar, meetings, and reminders
- Manage CEO daily priorities and help keep deliverables on track
- Help monitor and organize the CEO's email inbox
- Keep the CEO's daily schedule on track and adjust as needed
- Book and manage travel (flights, hotels, transportation)
- Review and submit team expense reports for reimbursement
- Occasionally, travel with the CEO to assist with on-the-go logistics
Support the Office & Team:
- Answer company phones, take, and distribute messages
- Sort and distribute mail
- Run office errands (e.g. supplies, post office, lunch runs)
- Keep general office supplies organized and stocked
- Help with team scheduling, meeting prep, and other admin tasks as they come up
- Assist with team travel bookings and coordination as needed
