Job Overview
Get in on the ground floor of a new multi family, real estate company with four properties, 150 apartment units and aggressively growing We are seeking a highly organized and detail-oriented Property Management Administrator to oversee daily operations of our property portfolio. This role involves managing administrative tasks, ensuring compliance with housing regulations, and providing exceptional customer service to tenants and vendors. The ideal candidate will have experience in property management, be proficient in Appfolio, legal administrative procedures, and customer relationship management, with a strong understanding of Fair Housing regulations and lease administration. This position offers an opportunity to contribute and grow with a professional team dedicated to maintaining high standards of property care and tenant satisfaction.
Responsibilities
- Manage leasing processes including property leasing, tenant screening, lease agreements and renewals
- Collect rent checks from properties as needed, deposit and post to Appfolio
- Follow up with tenants on delinquent rent, assess late fees and issue 7 day notices
- Convert and assist tenants to set up and use the Appfolio portal
- Be sure new tenants transfer utilities to their name and/or post utility charges to their accounts
- Maintain accurate data entry and filing of tenant records, contracts, and legal documentation
- Oversee property maintenance coordination and facilities management using CMMS or similar systems
- Ensure compliance with LIHTC, Section 8, Fair Housing regulations, and other relevant laws
- Manage everything related to section 8 agencies
- Handle landlord-tenant law issues, conflict management, and negotiation with tenants and vendors
- Utilize Appfolio property management software for rent collection, reporting, and record keeping
- Conduct customer service interactions via phone and in person, maintaining professional phone etiquette
- Support legal administrative functions related to contracts and lease enforcement
- Collaborate with property maintenance teams to ensure properties are well-maintained and compliant with safety standards
- Assist with prospective tenants and leads by creating Guest Cards in Appfolio
- Assist Property Managers with any other day to day tasks
Qualifications
- Proven experience in property management or real estate administrative roles
- Knowledge of LIHTC programs, Section 8 housing regulations, Landlord-Tenant law, and Fair Housing laws
- Proficiency in Appfolio management software
- Excellent customer service skills with professional phone etiquette and conflict management abilities
- Office experience involving data entry, filing systems, and general administrative support
- Ability to negotiate effectively and handle sensitive tenant issues with discretion
- Familiarity with property maintenance procedures and facilities management practices
- Strong organizational skills with attention to detail in record keeping and compliance documentation
