Office Administrator – Help Us Run a High‑Performance Real Estate Team

Job Title: Office Administrator

Build Idaho - Meridian, ID

Job Description:

We are seeking a highly organized and detail-oriented Office Administrator to join our real estate team. You will oversee various operational tasks & events, manage financial and administrative processes, and ensure smooth business operations in a fast-paced environment. 

Your primary responsibilities include transaction record import and review, providing support to our admin staff and agents, onboarding/offboarding support, and financial tasks, including payroll.

Responsibilities:

● Maintain transaction records and ensure accuracy across systems.

Manage CTE (transaction management spreadsheet), QuickBooks.

Validate by DA's and checks.

● Provide support to team members regarding splits, fees, contracts, and transactions

Details.

Accuracy and File contracts of the admin team

Hand agents to either Agent Support or Team Leader

● Onboard and offboard admin, ensuring compliance with paperwork.

● Train admin new hires on systems, processes, and expectations.

Benchmarks and Expectations

Create/ modify and ensure everything is in a system

● Manage employee, agent, and vendor files and update necessary paperwork.

● Process checks, reconcile discrepancies, and record bank deposits.

Online Banking

Quickbooks management

● Handle payment of bills, invoices, and contract work.

Manage Credit Card payments

● Manage payroll and coordinate with accounting for processing.

Gusto experience a plus

● Monitor budgets, create invoices, and maintain financial records.

Budget

● Prepare weekly team meetings to provide updates and support to our agents.

Closings

Verify other team members are prepared

● Test and evaluate systems to ensure efficiency and effectiveness.

● Assist monthly staff one-on-one meetings to provide support and accountability for

staff goals

  • Schedule Leadership Meetings
  • Assist in creating Agenda & Structure

Hold systems accountable then hold people accountable

Put out fires

  • Events coordination
  • Maintain office supplies

Qualifications:

● Experience in business administration, finance, or related field (preferred).

● Proven experience in operations management, preferably in the real estate industry.

● Strong organizational skills and attention to detail.

● Proficiency in GSuite, Quickbooks, and CRM systems.

● Knowledge of real estate transactions and processes (preferred).

● Excellent communication and interpersonal skills.

● Problem-solving and decision-making abilities.

● Ability to work independently and collaboratively.

● Strong time management skills.
