Position Overview

Cramer-Legal is a family law office located in Bedford, Texas. We are seeking to add a capable and courteous Legal Receptionist to our firm. A legal receptionist is a vital position, that helps to ensure the smooth operation of our firm. Our ideal candidate will be adept at answering and managing incoming calls professionally, managing the firm's general inbox, warmly welcoming all office visitors, effectively scheduling and maintaining the firm calendar, properly maintaining client files, and handling various administrative tasks to keep the office running smoothly. At Cramer-Legal, a capable Legal Receptionist allows the firm Attorney and legal staff the ability to complete their essential work, while representing our firm as the first point of contact and is trusted with various administrative tasks that keep the office running efficiently.

Key Responsibilities

Managing Client Communication:

Incoming Calls: As a legal receptionist, it is important to be adept at answering and managing incoming calls professionally. A high-quality legal receptionist greets callers welcomely, swiftly determines the purpose of the call, and either resolves the issue or directs the call to the appropriate recipient.

Responding to Emails: A receptionist manages the firm's general email inbox. This involves promptly responding to inquiries, forwarding emails to the correct parties, and ensuring no communication or scheduling falls through the cracks.

Greeting Clients in Person: When clients visit the office, a legal receptionist is responsible for providing a warm and professional welcome. Receptionist should ensure clients feel comfortable and informed while waiting for their appointments.

Scheduling and Managing Appointments:

Organizing Calendars: One of the primary duties of a legal receptionist is managing the schedules of attorneys and other staff. This includes booking appointments, scheduling meetings, and coordinating with clients to ensure everyone's availability.

Appointment Reminders: A receptionist is responsible for communicating with clients and make certain appointments are tended to by both clients and attorneys. Appointment communication can be done through phone calls, emails, or automated systems if adequately monitored.

Document Management and Filing:

Organizing Documents: A legal receptionist is responsible for organizing and maintaining both physical and digital documents. This includes systematically filing critical legal documents, client documentation, correspondence, and case files.

Document Retrieval: A legal receptionist can retrieve documents, files, and client information quickly and efficiently. To do this well, a legal receptionist navigates our filing system with properly labeled and stored documents, working in accordance with firm policies.

Data Entry: Accurate data entry is crucial in a legal setting. A legal receptionist is expected to be proficient in entering information into the firm's case management system.

Other Responsibilities

Providing Administrative Support

Office management: A legal receptionist is capable of handling various administrative task to keep the office running smoothly. This includes ordering office supplies, managing mail, and ensuring the office environment is organized and professional.

Supporting Legal Staff: In addition to office management, upon training, a legal receptionist is responsible for providing support to legal staff. This includes preparing documents, scheduling meetings, monitoring the calendar, and assisting with other administrative tasks.

Client Follow Up: Communication with clients, keeping them informed of all meetings, call, mediations, and court appearances. A receptionist is in communication with clients, providing case updates and making sure they have all the necessary and accurate legal information.

Expectations

Attendance: The receptionist consistently shows up for work as expected, is well rested, and on time. The receptionist is present in the office in accordance with firm business hours. The receptionist is not out excessively or unexpectedly. Receptionists understands their role is critical to the smooth and efficient running of the firm.

Job Skills: The receptionist is capable of handling phone calls well, ensuring client satisfaction and while minimizing interruptions to the rest of the team. The receptionist is aware of the activities and schedules of others in the office and can anticipate where to best be of assistance. Receptionists will take pride in a clean and neat work environment, especially when client facing. Communication is professional and empathetic to all clients, visitors, and callers. Information collected from clients is accurate and messages recorded for others retain all important and relevant information.

Contributes to Improvements: The receptionist observes the workings of the firm and is willing to suggest and aid in the implementation of improvements. The receptionist understands the roles and occupations of others in the office and looks for opportunities to assist, bringing suggestions to the appropriate people in a positive and supportive manner.

Training: The receptionist is willing to accept the training required to ideally fill the position and seeks out additional training when available to improve their contribution to the firm.

Productivity: The receptionist uses their time productively and does not wait to be instructed to complete tasks or offer assistance. The receptionist should have little to no idle time when completing their job with diligence.

Policies and Procedure: The receptionist is aware of and follows the firm's policies and procedures. The receptionist understands the concept of "external policies" and can professionally direct clients to also comply with those policies.

Works well with others: Receptionist is easy to work with and enjoyable to be around. The receptionist is respectful, friendly, helpful, and has a positive attitude when in the office. A receptionist is able to maintain composure even when dealing with complicated or difficult clients.

Interaction with clients and third parties: The receptionist always shows respect to clients and all third parties. The receptionist understands their position is a critical marking role and sets the tone for all external firm relationships. The receptionist fulfills an excellent first and continued impression by being welcoming, helpful, and trustworthy.

Appearance: The receptionist is always dressed appropriately and well groomed. The receptionist meets the firm's business casual dress code standards and is always ready for client interaction.

Qualifications

  • Highschool diploma is required, minimum of an associates degree desired.
  • Minimum of one year of experience in a receptionist or Administrative Assistant role required; prior law firm or professional services experience preferred.
  • Capable of coordinating and managing multiple projects, assignments, and priorities simultaneously.
  • Ability to handle highly confidential information with professionalism and integrity.

Working Conditions

Small law firm located in the Happy State Bank building. Firm follows standard in-person hours 8am – 5pm Monday – Thursday and 8am – 12pm Friday.
