Are you a people person who thrives in a fast-paced, creative environment? Eastern States Exposition — home of The Big E and some of New England's most exciting events — is looking for a highly organized, outgoing, and tech-savvy Office Coordinator to join our Marketing team.

This is a unique hybrid role that blends customer service, communications, and marketing support. You'll be the friendly face that greets visitors, the organized mind that keeps our office running smoothly, and the team player who helps bring our events and programs to life — from Hooplandia to the Fiber Festival of New England, Storrowton Village Museum, and beyond.

What You'll Do

Day-to-Day Office & Administrative Support

  • Be the first point of contact for visitors, guests, and callers — providing warm, professional, and knowledgeable assistance.
  • Manage daily office operations including mail, phones, emails, and supplies.
  • Keep shared spaces (reception, mailroom, and break areas) tidy, welcoming, and well-stocked.
  • Maintain awareness of ESE news and events to provide accurate information to the public.
  • Support internal communication efforts by distributing materials, scheduling meetings, and coordinating mailings.

Marketing & Event Support

  • Assist the Marketing team with planning and executing events such as press conferences, receptions, and media days.
  • Lead the ESE Social Committee — organizing staff outings, morale-boosting activities, and company celebrations (think: summer picnics, holiday parties, and fun surprises in between).
  • Contribute ideas and hands-on support for marketing initiatives that promote ESE's mission and programs year round.

During The Big E & Other Major Events

  • Take the lead as Manager of the Information Services Team — supervising and training 35–40 seasonal staff members who work in information booths, reception, and museum areas.
  • Coordinate hiring, scheduling, and training to ensure excellent visitor experiences.
  • Manage communications and logistics for Golden Ticket holders, including emails, mailings, and special access during the Fair.
  • Collaborate with the Box Office and other departments to keep records accurate and up to date.

What You Bring

  • Associate's degree in Marketing, Communications, or related field — or equivalent experience.
  • 1+ year of experience in an administrative, office coordination, or customer-facing role.
  • Experience managing or leading teams (seasonal or volunteer staff a plus).
  • Strong communication skills — professional, courteous, and clear.
  • Excellent organization and multitasking abilities with a sharp eye for detail.
  • Proficiency in Microsoft 365 and Adobe Acrobat.
  • You're comfortable staying active This role involves walking, sitting, and standing for extended periods — and exploring all 174 acres of our fairgrounds as you support staff and guests throughout the day.
  • You don't mind a little New England weather. Whether it's sunshine or a surprise drizzle, you're ready to be out and about helping our teams succeed.
  • You can handle light lifting. Occasionally moving or carrying items up to 25 lbs. is part of keeping things running smoothly.
  • You're all in for event season. Availability to work Hooplandia weekend and all 17 days of The Big E is a must — it's the highlight of our year
  • You roll with the punches — and keep smiling. Adaptability, positivity, and a great sense of humor will make you shine in this lively environment.

Bonus Points For:

  • Experience in marketing, events, or live entertainment.
  • Familiarity with Adobe Creative Cloud (Photoshop, Illustrator, etc.).
  • Basic knowledge of website content management systems.

Compensation & Benefits

Salary Range: $25 - $32/hour (commensurate with experience)
