Job Description Position: Administrative Coordinator – Construction & Property Support

Reports to: Operations Manager

Location: Sedalia, MO In-office

Employment Type: Full-time (40 hrs/week)

Compensation: $18-22 /hr depending on experience, plus PTO and year-end bonus

We're looking for a dependable, detail-oriented person to join our administrative team and help keep our operations running smoothly.

Position Summary

The Administrative Coordinator supports daily office operations, job documentation, and communication between the field, office, and clients. This person will work closely with the Operations Manager to handle paperwork, organize project data, assist with property management tasks, and maintain the accuracy of company records.

Key Responsibilities

  • Process and enter invoices, receipts, and job costs into QuickBooks / project spreadsheets

  • Track subcontractor COIs, lien waivers, and vendor documents

  • Help prepare pay applications, O&M manuals, and closeout binders.

  • Maintain job folders and project files (digital & paper)

  • Assist with timecard collection and payroll data entry.

  • Manage incoming calls, emails, and client communication overflow.

  • Support rental operations (lease filing, maintenance requests, rent logs)

  • Order office supplies and assist with basic HR/onboarding paperwork

  • General administrative support as needed to the Construction and Cabinets divisions

Qualifications

  • 2+ years of office or admin experience (construction, trades, or property management preferred)

  • Strong computer skills: Excel, Word, email, shared drives

  • Excellent organization and attention to detail

  • Comfortable multitasking and prioritizing in a fast-paced environment

  • Friendly, professional communicator (phone and email)

  • Able to learn quickly and take ownership of recurring tasks
