Position Summary:

The Service Coordinator plays a significant role in supporting the service operations of a highly engineered OEM product line. This position coordinates field service activities (parts, travel, documentation), processes service orders and ensures that customer service needs are met efficiently and professionally. Acting as the communication hub between customers, service technicians, engineering, and operational teams, the Service Coordinator helps maintain a well-documented and smooth customer experience and provides consistent processing for field service staff and the installation team. This position is ideal for a detail-oriented individual who thrives in a technical manufacturing environment, enjoys solving problems, and values precision and responsiveness in customer interactions.

Essential Functions:

  • Serve as the primary point of contact for customer service requests, warranty repairs, and technical support coordination, triage, and route calls to the appropriate resource.
  • Complete forms, documentation, and reports to ensure smooth and complete communication of service.
  • Prepare and book travel arrangements for service events, both installation and warranty/paid service.
  • Create and manage service quotes and orders in Syteline ERP.
  • Track and update service status, parts availability, and customer communications throughout the service process.
  • Maintain accurate records of equipment service history, warranty coverage, and maintenance schedules.
  • Prepare and process quotes, time/labor reports, and invoices related to service activities.
  • Monitor and report on service metrics, enter service hours, and expense reports.
  • Support continuous improvement by identifying opportunities to streamline service operations and communication processes.
  • Ensure compliance with company safety, quality, and documentation standards in all service-related activities.

Position Requirements:

  • Associate degree in Business Administration, Industrial Technology, Mechanical Engineering, or a related technical field (or equivalent experience).
  • 2+ years of experience in service coordination, customer support, or administrative roles within a manufacturing or industrial equipment environment.
  • Familiarity with ERP systems for managing orders and scheduling.
  • Proficient in Microsoft Office Suite, particularly Excel and Outlook, with strong data entry and organizational skills and attention to accuracy and completeness.
  • Comfortable working with technical drawings, part lists, and service documentation.
  • Basic understanding of mechanical or electrical systems and manufacturing terminology.
  • Excellent communication and customer service skills, both written and verbal.
  • Strong organizational and multitasking abilities in a fast-paced environment, collaborative with a problem-solving mindset.
  • Able to prioritize and adapt to changing demands and schedules.
