Job Summary
Always On HVAC is a growing HVAC and home comfort company based in Brooklyn, NY. We are looking for an Inbound Sales & Customer Service Representative to handle incoming calls from residential customers generated by our marketing and advertising. This is an on-site position (5–6 days/week) in our Brooklyn office. The primary focus is converting inbound leads into booked sales appointments; some calls will be service-related, where you will take detailed messages and route them to the appropriate team.
Key Responsibilities
- Answer high volume of inbound calls from new and existing customers in a professional, friendly manner.
- Qualify inbound sales leads (heating, cooling, mini-splits, maintenance, etc.) and convert calls into scheduled appointments for our Comfort Advisors/estimators.
- Follow a proven call script and sales process to:
- Ask the right questions about the customer's home and needs.
- Clearly explain our services, promotions, and next steps.
- Overcome basic objections and secure a firm appointment date/time.
- For service-related calls:
- Gather key details (equipment type, symptoms, urgency, location).
- Enter accurate information into our CRM/dispatch system.
- Create and route service tickets/messages to the appropriate department.
- Accurately enter and update customer information, call notes, and appointment details in company software.
- Manage and monitor the daily appointment schedule and confirm next‑day appointments when needed.
- Provide excellent customer service on every call, reinforcing our brand as professional, honest, and reliable.
- Work closely with the sales, service, and operations teams to ensure smooth handoff of leads and service calls.
- Meet or exceed performance goals for:
- Call answer rate.
- Conversion rate from call to appointment.
- Call quality and customer satisfaction.
Qualifications
- Experience:
- Required: 1–2+ years of phone-based sales or high-volume inbound call experience (HVAC, home services, call center, or similar preferred).
- Experience in a busy office or dispatch/call center environment is a plus.
- Skills & Attributes:
- Strong communication skills; clear, confident, and friendly phone manner.
- Sales-minded: comfortable asking for the appointment, handling basic objections, and closing.
- Highly organized and detail-oriented; able to enter accurate data while on the phone.
- Comfortable working with CRM or scheduling software (experience with ServiceTitan/Housecall Pro/Service Fusion or similar is a plus).
- Able to stay calm and professional with upset or stressed customers.
- Reliable, punctual, and able to work independently once trained.
- Other Requirements:
- Must be able to work on-site in our Brooklyn office 5–6 days per week (some Saturdays may be required, especially during peak seasons).
- Authorized to work in the United States.
Schedule & Compensation
- Full-time, on-site; 5–6 days per week (exact schedule to be discussed).
- Competitive hourly base pay plus performance incentives/bonuses based on sales and appointment metrics
- Paid training and opportunities for advancement into senior sales, dispatch, or office management roles.
