The Automotive Receptionist serves as the first point of contact for customers and visitors, providing a welcoming and professional atmosphere in the dealership or service center. This position is responsible for answering incoming calls, greeting customers, directing inquiries to the appropriate departments, and supporting administrative and clerical functions to ensure smooth daily operations.
Key ResponsibilitiesGreet all customers and visitors promptly and courteously as they enter the dealership or service area.
Answer incoming phone calls, route them to the correct departments or individuals, and take accurate messages when necessary.
Schedule service appointments and assist customers with basic inquiries regarding vehicle service, parts, or sales.
Maintain a clean and professional front desk and customer waiting area.
Provide general administrative support, including filing, data entry, copying, scanning, and mail distribution.
Assist with check-in and check-out of service customers as needed.
Handle cash, credit, or check payments accurately and securely when required.
Update customer records in the dealership management system.
Support marketing or customer satisfaction efforts such as follow-up calls or surveys.
Collaborate with all departments to ensure seamless customer service and communication.
High school diploma or equivalent required; additional administrative or customer service training preferred.
Previous receptionist or customer service experience, ideally in an automotive dealership or service environment.
Excellent communication and interpersonal skills, both in person and over the phone.
Professional appearance and demeanor.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with dealership management software (e.g., CDK, Reynolds & Reynolds, Dealertrack) preferred.
Ability to handle multiple tasks in a fast-paced environment.
