Program Support - Therapeutic Foster Care (TFC)

Wheat Ridge, CO

One Full-Time Position. 40 hours per week.

Monday through Friday, 8:00am to 4:30pm.

Hiring Range: $ $21.08 / hr., depending upon education and experience.

Minimum Requirements 

Required: 

• High School graduation or equivalent, minimum age 18.

Preferred: 

• One year experience in customer service.

• One year experience with data entry and maintaining accurate records.

• Minimum of six months experience with database management or client tracking systems.

Position Summary

Administrative Assistants are responsible for a wide variety of duties. Some administrative assistants may take on specialty duties or lead roles; however, their overall goal is to provide excellent internal and external customer service to every client, foster family, host home, biological family, visitor & employee of Ariel. Administrative Assistants typically work as part of a team.

Essential Duties and Responsibilities

Dependent upon the employees' specific position, they may participate in all or some of the tasks listed below as directed by their supervisor:

1. Act as a receptionist: answering, screening, and responding to callers and directing calls to the appropriate staff members.

2. Responsible for maintaining strict confidentiality with all records that Ariel Clinical Services has at its disposal.

3. Coordinate the maintenance of files for the Therapeutic Foster Care Clients, Foster Families and as directed by supervisor.

4. Maintain Ariel's library. Supervise check out and return of material to clients/families. Notify supervisor of delinquent materials that have been unable to be collected.

5. Familiarize self with Rules and Regulations as related to the organization and distribute to staff as needed.

6. Regularly audit client and foster family files to ensure compliance with Rules and Regulations and Agency Standard Operating Procedures.

7. Provide clerical or secretarial duties as necessary for the organization to operate efficiently.

8. Ensure workstation and lobby area are clean and presentable to the public. Perform office duties as listed on the openings and closing procedures. 

9. Provide support to program manager and case managers to ensure their needs are readily and effectively met.

10. Assist in the recruitment of new foster parents, as directed.

11. Ensure all foster files are state audit ready.

Additional Duties and Responsibilities 

1. Must work closely with other Ariel Programs and offices.

2. Performs other duties as assigned.

Requirements

Required Knowledge, Skills and Abilities

1. Clear, confident and friendly phone voice and relationship with in person visitors and employees.

2. Ability to provide reliable, insured transportation, as needed to meet the duties of the position.

3. Ability to work with people who may become frustrated, angry or upset.

4. The ability to read, speak and write in English. 

5. The ability to effectively communicate verbally and in written format in both individual and group settings.

6. Ability to be flexible, and able to change direction rapidly.

7. Ability to work independently, prioritize workload, complete a wide variety of tasks in a timely and accurate fashion and direct others, as needed.

8. Basic computer knowledge including: Microsoft Office Word, Excel, Outlook, and Apple Software.

9. Ability to gain knowledge of the Extended Reach Program within 30 days.

10. Must be available from time to time outside of traditional office hours including nights, weekends and holidays as necessary to perform the functions of the position.

11. Exercise independent judgment within the scope and boundaries of the department, the Agency's Standard Operating Procedures, and Federal, State and Local Rules and Regulations regarding department operations.

12. Ability to demonstrate consistent and reliable attendance as scheduled and requested.

Education and Experience

Required: 

• High School graduation or equivalent, minimum age 18.

Preferred: 

• One year experience in customer service.

• One year experience with data entry and maintaining accurate records.

• Minimum of six months experience with database management or client tracking systems. 

Certifications/Licenses

1. Valid Regular Driver's License, with acceptable driving record.

Physical Demands

1. This position requires that the incumbent be capable of bending, sitting, stretching, and/or reaching regularly for periods up to two hours without a break. 

2. This position requires that the incumbent have adequate hand and finger dexterity to properly perform the functions of the position.

3. This position requires lifting regularly up to 10 pounds and occasionally up to 60 pounds.

4. This position requires the ability to hear, see, smell and distinguish temperature, at a level which is adequate to ensure client and staff health and safety. Adaptive devices are acceptable.

5. This position may require daily driving of up to one hour per day and occasionally up to eight hours per day. 

6. Climbing may be required from time to time.

Work Environment

1. Exposure to typical climate controlled office environment when in the office.

2. Exposure to all climates and weather conditions while working in the office.

3. Exposure to blood borne pathogens and infectious disease is possible, but limited.

4. Exposure to hazardous chemicals is possible, but limited.
