Executive Assistant

IDEXX is seeking a highly motivated and experienced Executive Assistant to provide strategic and operational support to the Senior Vice President (SVP) of Customer Experience.
The Executive Assistant will act as the primary point of contact for the SVP and serve as a key liaison across the leadership team and external stakeholders. You'll triage and delegate critical work, manage high-stakes priorities, and help ensure seamless execution across a broad portfolio of strategic, operational, and logistical initiatives.
In addition to direct executive support, you will lead a team of administrative professionals, offering mentorship, development opportunities, and day-to-day direction to elevate support across the organization.
In The Role Of Executive Assistant
- Provide strategic, high-level executive support to the SVP, including calendar and meeting management, proactive prioritization, and decision support
- Manage time as a strategic asset; actively shape the executive's schedule to align with org priorities
- Act as a key liaison between the SVP, senior leaders, and external partners, exercising strong judgment and professionalism
- Manage dynamic and shifting priorities with professionalism and flexibility
- Triage incoming requests and assign work across the administrative team
- Lead and develop a team of administrative professionals, fostering a culture of collaboration, accountability, and growth
- Anticipate needs by attending meetings, staying ahead of business rhythms, and ensuring the SVP is always prepared
- Coordinate and manage travel arrangements, expenses (Concur), and large-scale events
- Prepare executive-level documents, meeting agendas, presentations, and briefing materials
- Manage special projects and cross-functional initiatives with precision and discretion
- Support ad hoc tasks such as research and stakeholder coordination
What Do You Need To Succeed
- Minimum 5 years of executive support experience, including 3+ years supporting C-suite leaders
- Prior experience managing or leading a team strongly preferred
- Strong project management and organizational skills with a track record of handling complex, high-volume workloads
- Ability to navigate ambiguity and adapt in a fast-paced environment
- Proactive, resourceful, and intellectually curious with a bias for action
- Exceptional interpersonal and written/verbal communication skills at the executive level
- Demonstrated ability to handle sensitive information with confidentiality and discretion
- Proficiency with Microsoft Office Suite (including PowerPoint and Excel , Concur , and virtual collaboration tools
- Bachelor's degree or equivalent combination of education and experience
Bonus If You Have
- Proven ability to leverage Excel for data analysis and PowerPoint for executive- level storytelling and reporting.
- Experience supporting or coordinating global teams
Location :
Candidates will be required to be on site 3 days a week at our headquarters in Westbrook, ME.
