Role Summary:
The Administrative Coordinator will report to the Senior Executive Assistant for the CEO. The Administrative Coordinator plays a pivotal role in ensuring the smooth and efficient operation of an organization's administrative functions. This position is responsible for managing daily office activities, coordinating schedules and meetings, maintaining records, and supporting departmental operations. The role requires strong organizational skills, attention to detail, and the ability to communicate effectively across teams and with external stakeholders.

Primary Responsibilities:

  • Issue visitor passes for employees and coordinate guest access.
  • Greet and escort visitors upon arrival, ensuring they reach their designated floors.
  • Respond or route voicemail message and client inquires
  • Submit purchase orders via Coupa System
  • Submit reimbursements of travel expenses for executive leadership team
  • Assist with logistics and hospitality for Board Meeting guests.
  • Provide administrative coverage during staff vacations
  • Sort and deliver physical mail
  • Support department heads with special projects and administrative tasks as required.

Required Qualifications:

  • Proven experience in administrative or office coordination roles.
  • Highly reliable attendance. In office five days a week, Monday through Friday.
  • Above average proficiency in Microsoft Office (Word, Excel, Outlook)
  • Hands-on experience with standard office equipment is necessary.
  • Strong organizational, time-management, and multitasking abilities are important for managing a varied workload.
  • Must have excellent written and verbal communication skills to interact clearly with a range of people
  • The ability to be proactive, resourceful, and resolve issues efficiently.

Preferred Qualifications:

  • College degree
  • Experience with Coupa

The salary range below describes the minimum to maximum base salary range for this role. The role is also eligible for an annual bonus; whereby total compensation may exceed this range depending on individual and / or company performance.

Base Salary Range: $43,100 - $64,700
