Court Judicial Specialist III

The Court Judicial Specialist III position is pivotal within the Court to provide compliance monitoring, data integrity, court calendaring, jury services, and lead worker duties. EXAMPLES OF THE WORK PERFORMED (ILLUSTRATIVE ONLY)

• Provides excellent customer service to both internal and external customers
• Coordinates all aspects of case filing, including data entry into the court's case management system for default judgments, vehicle holds, warrants, community restitution, sentencing, and proper payment posting
• Assists in developing methods and procedures to ensure data integrity for the processing of all court records
• Coordinates with judges, attorneys, administrators, and related agencies
• Works with external customers and other city and county departments to solve court case issues in a timely and courteous manner
• Monitors and performs follow-up on court-ordered sanctions
• Assists in the development of policy and procedure manuals for court case processing
• Provides reports, answers questions, and resolves problems
• Responsible to the Deputy Court Administrator that court events are set in accordance with state law and conform to Arizona's Limited Jurisdiction Time Standards
• Prepares and disseminates legal notices and performs clerical duties during court proceedings
• Assists with the jury management operations for the Court
• Assists with the financial management operations for the Court
• Responsible for the processing, transferring, and tracking of appeals and Rule 11 cases
• Performs case disposition reporting and complete any required adjustments
• Ability to work accurately under pressure to meet set deadlines
• Performs special projects and related duties as assigned
• Assists other court personnel as assigned
• Performs clerical duties such as answering telephones, general typing, filing, and mailing correspondence
• Prioritizes day-to-day activities in order to reach goals and objectives of the program
• Prepares monthly reports to advise the supervisor of caseload status
• Updates and maintains audio recordings for information regarding all court events
• Assists with the financial management operations for the court and functions as a backup to the Court Finance Specialist
• These positions will be cross trained to perform the essential duties within each area of responsibility to provide appropriate coverage and leadership of the Court Judicial Specialists I and II's
• Below are examples of the type of work performed, given the area of assignment, the area of assignment will be based on the court's business needs

Motions and Calendars

• Responsible to the Deputy Court Administrator for ensuring that hearings are scheduled during the timeframes mandated by state law
• Schedules all jury and non-jury criminal trials, including establishing the trial calendar, and the dissemination of appropriate legal notices
• Ensures the timely processing of all incoming motions, from initial filing through resolution, including the preparation and dissemination of the final order

Courtroom Services

• Responsible to the Deputy Court Administrator for ensuring that hearings are properly staffed by appropriately trained staff
• Ensures the dissemination of appropriate legal notices
• Responsible for leading and training Judicial Specialists in the courtroom for all court events, ensuring adequate coverage and support throughout the proceedings
• Responsible for the processing, transferring and tracking of appeal and Rule 11 cases

Customer and Jury Services

• Responsible for leading the customer service counter and call center
• Perform complex case disposition reporting and complete any required adjustments in coordination with the Arizona Department of Public Safety and the Coconino County Jail
• Maintains the jury management operations for the court, including the development of current jury lists, summons, notifications, jury yield and utilization, and juror payments in compliance with the law
• Responsible for the juror appearance and selection process, ensuring an adequate juror pool is available at the start of voir dire proceedings

MINIMUM REQUIREMENTS

• One (1) year of college-level coursework
• Two (2) years of progressively responsible clerical work in a court environment
• Or any combination of education, experience, and training equivalent to the above Minimum Requirements

DESIRED EXPERIENCE AND TRAINING

• Experience with the judicial system or college-level classes in a related field
• Experience in a high-profile public contact position
• Court case processing experience
• Associate's degree or higher in Criminal Justice or a related field
