We are seeking a highly organized and detail-oriented Travel &
Front Office Administrative
Coordinator
fluent in Japanese and English
. This role combines travel administration, front office support, and customer badging management to ensure seamless operations for internal stakeholders.

Responsibilities:

  • Manage employee badging process with high accuracy and attention to detail.
  • Track, reconcile, and administer travel expenses for domestic and international business travel.
  • Coordinate meetings, video conferences, travel itineraries, and maintain calendars.
  • Serve as front office point of contact: greet visitors, answer calls, and manage correspondence.
  • Maintain documentation, filing systems, and robust Excel spreadsheets.
  • Support supplier relationship management and respond to travel-related inquiries.
  • Prepare reports, presentations, and expense reconciliations.
  • Perform other administrative duties as required.

Qualifications:

  • Fluent in Japanese and English (both written and spoken).
  • Strong attention to detail, communication, and customer service skills.
  • Excellent Excel skills and ability to manage complex spreadsheets.
  • Minimum
    2 years of clerical, administrative, or front office experience (or equivalent training).
  • Prior travel or badging experience preferred but not required; training provided.
  • High school diploma or equivalent (additional education may substitute for experience).
