The Staff Accountant supports the day-to-day financial operations of First Responder Health and its affiliated entities. This role ensures accurate and timely recording of financial transactions, supports the month-end close process, assists with payables and receivables, and contributes to the integrity of financial reporting. The Staff Accountant works closely with the Controller and collaborates with the Admissions, Revenue Cycle, Human Resources, and Training departments to maintain smooth, compliant, and efficient financial processes.

Key Responsibilities

General Accounting

· Prepare and post journal entries, including accruals, recurring entries, and intercompany transactions.

· Reconcile balance sheet accounts monthly, ensuring accuracy and completeness.

· Maintain the general ledger for multiple entities within the FR Health structure.

· Assist with audit requests and provide supporting documentation as needed.

Accounts Payable

· Review vendor invoices for accuracy, coding, approvals, and alignment with internal policies.

· Process AP transactions through NetSuite and support the automation workflow.

· Monitor recurring charges, verify contract terms, and flag discrepancies.

· Support vendor management, including W-9 collection and annual 1099 processing.

Accounts Receivable & Revenue Support

· Assist with daily bank reconciliation and deposit posting.

· Work with the Revenue Cycle Supervisor to ensure proper revenue recognition and aging clean-up.

· Support the Controller in tracking payments from agencies, TPAs, and commercial payers.

Payroll & HR Support (non-HR compliance tasks only)

· Reconcile payroll entries to general ledger accounts.

· Assist with fringe benefit reconciliations, PTO accrual tracking, and payroll audits.

Financial Reporting & Month-End Close

· Assist the Controller in preparing monthly financial statements for each entity, program, and department.

· Prepare variance analyses and follow-up explanations.

· Support budgeting and forecasting activities by providing historical data and routine updates.

Operational Support

· Help implement process improvements across the finance function, including NetSuite enhancements.

· Provide training and support to internal staff on invoice submission, expense reimbursement, and coding procedures.

· Participate in cross-functional projects related to program expansion, new locations, and contracting.

Qualifications

· Bachelor's degree in Accounting, Finance, or related field required.

· 1–3 years of progressive accounting experience, preferably in healthcare, behavioral health, or multi-entity environments.

· Working knowledge of GAAP.

· Experience with NetSuite or another ERP system strongly preferred.

· Strong proficiency with Excel (VLOOKUP/XLOOKUP, pivot tables, reconciliations).

· Ability to manage multiple deadlines with accuracy and attention to detail.

· Professionalism, strong communication, and a collaborative mindset.
