Overview

The Fleet Administrator plays a crucial role in managing and overseeing the daily operations of our fleet. coordinating vehicle maintenance schedules, managing records and documentation, monitoring fleet utilization, and assisting with compliance, registration, and reporting. The Fleet Administrator serves as a key liaison between drivers, technicians, vendors, and management to ensure smooth and cost-effective fleet operations. This position requires a detail-oriented individual with strong organizational skills and the ability to handle multiple tasks efficiently. The ideal candidate will possess excellent communication skills, both verbal and written, and will be comfortable working in a fast-paced environment. proficiency in various office software and systems is essential for success in this role.

Duties

  • Manage fleet schedules, including vehicle maintenance and repairs
  • Coordinate with drivers and ensure timely communication regarding routes and schedules
  • Maintain accurate records of fleet operations, including mileage, fuel consumption, and maintenance logs
  • Support the Fleet Manager in developing and enforcing preventive maintenance schedules and safety standards.
  • Respond to internal and external inquiries related to fleet operations in a professional and timely manner.
  • Coordinate with insurance providers and vendors regarding claims, renewals, or policy updates.
  • Provide administrative support by handling clerical tasks such as data entry, filing, and proofreading documents
  • Utilize QuickBooks for bookkeeping and financial tracking related to fleet expenses
  • Answer multi-line phone systems with professionalism and courtesy while providing exceptional customer service
  • Assist with calendar management and scheduling appointments as needed
  • Support office management functions to ensure smooth operations within the fleet department
  • Engage with customers to address inquiries and provide support regarding fleet services

Qualifications

  • Education: Associate's degree in Business Administration, Logistics, or a related field (Bachelor's degree preferred).
  • Experience: Minimum of 2–4 years of experience in fleet management, logistics, or administrative support within a technical or operational environment.
  • Proven experience in an administrative role with strong clerical skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Familiarity with QuickBooks for bookkeeping purposes is preferred
  • Excellent organizational skills with the ability to manage time effectively
  • Strong computer literacy and typing skills
  • Experience in customer service or customer support roles
  • Bilingual abilities are a plus to enhance communication with diverse clientele
  • Previous experience as a dental receptionist is advantageous
  • Personal assistant experience is beneficial for managing executive-level tasks
  • Ability to maintain professionalism while managing multiple priorities in a busy environment

Physical and Work Environment Requirements:

  • Primarily office-based with occasional travel to fleet yards, service facilities, or vendor locations.
  • Must be able to sit for extended periods and perform data entry.
  • Normal business hours apply, with flexibility to support after-hours fleet activities when necessary.
