Job Title: Patient Service Representative – Level 1 Float to back up
Reports To: Administrative Supervisor
FLSA Status: Non-Exempt
Summary: Provides support with the daily activities of a medical office including, but not limited to, filing, telephone coverage, appointment scheduling, registration, and patient referrals by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
- Maintains proficiency in at least one of the following areas: check-in, check-out, or primary phone attendant.*
- Uses fax machine, printer, computer, scanner, email, and multi-line telephone system.*
- Answers telephone and either responds to inquiry, directs caller to appropriate personnel, or initiates a triage message for response by medical personnel.*
- Provides exemplary customer service by treating patients and coworkers with courtesy and discretion.*
- Greets and directs patients, salespeople, and visitors.*
- Schedules appointments and enters appointment dates and times into computerized scheduler with a high rate of accuracy.*
- Enters confidential personal health information and financial information into computerized system with a high rate of accuracy.*
- Complies with federal and local laws in ensuring patient privacy.*
- Reviews medical records for completeness, assembles records into standard order, and files records in designated areas according to applicable alphabetic and numeric filing systems.*
- Collects payments from patients, applies payments and adjustments to patient accounts in the computer system, and reconciles daily cash reports.*
- Assists in managing patient appointment schedule.*
- Manages incoming documents via fax, mail, and electronic methods.*
- Composes and mails out basic letters.*
- Communicates patient flow with back office and providers.*
- Listens and responds to afterhours answering machine messages.*
- Registers patients by verifying that patient's record is up-to-date and accurate and makes any appropriate changes in computer system and on patient's chart.*
- Organizes and maintains a filing system for patient charts, including generating chart numbers, filing, and pulling charts.*
- Checks patient insurance eligibility.
- Cleans the kitchen and/or lobby.
- Performs any necessary clerical duties when needed.
- Covers front office positions when needed.
- Floats to back office to assist with administrative duties as needed.

Language Ability:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Math Ability:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills:
To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, Internet Explorer, internet browser software, eClinicalWorks software, and electronic medical records software.
Education/Experience:
High school diploma or general education degree (GED); and prior experience preferred; or equivalent combination of education and experience.
