Key Responsibilities

Customer Communication and Call Handling

  • Receive service requests via phone, email, or web forms and create corresponding service tickets.
  • Gather and verify all necessary details, including customer information, job site location, door type, and issue description.
  • Communicate technician arrival times, monitor progress, and follow up to ensure customer satisfaction after service completion.

Scheduling and Dispatching

  • Assign service technicians based on location, skill set, and availability to ensure timely response.
  • Monitor field activity to maintain efficient route and time management.
  • Update and adjust the daily dispatch schedule, promptly communicating changes to both technicians and customers.

Administrative and Financial Coordination

  • Review completed service tickets for accuracy and completeness.
  • Prepare and issue service invoices, ensuring timely submission to customers.
  • Track payment status and coordinate with accounting to follow up on outstanding invoices.
  • Maintain accurate records of service contracts, warranty jobs, and preventive maintenance schedules.

Qualifications & Requirements

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Minimum 2 years of experience in service coordination, dispatching, or customer support, ideally within a technical, construction, or facility services industry.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Proficiency in Microsoft Office, Outlook, and ERP/service management systems (such as Sage, Salesforce, or similar platforms).
  • Excellent written and verbal communication skills.
  • Professional, efficient, and customer-focused when working with technicians and clients.
  • Detail-oriented, self-motivated, and dependable with a commitment to accuracy and teamwork.
