Position Overview

Mindcore Technologies is seeking an experienced Project Manager | Business Support Specialist with deep expertise in IT project management, ConnectWise systems, and client operations. This role combines project execution, quoting, procurement, and sales support — ensuring projects are delivered efficiently, clients are fully supported, and internal processes remain streamlined and scalable.

You will serve as the operational bridge between clients, engineers, vendors, and leadership — driving communication, accountability, and execution across all phases of project delivery and client management.

Key Responsibilities

Project Management

  • Create and manage projects in ConnectWise PSA, building detailed project structures with defined phases, tasks, and dependencies.
  • Convert Microsoft Project files into ConnectWise templates for consistency and efficiency across teams.
  • Coordinate project schedules, communication, and deliverables — ensuring timelines, budgets, and goals are met.
  • Maintain visibility and accountability across all projects, providing regular updates to clients and leadership.

Quoting & Scoping

  • Prepare and manage hardware/software quotes using ConnectWise CPQ — including pricing, approvals, and fulfillment.
  • Build Managed Services quotes and scopes of work (SOWs) based on client discovery and technical requirements.
  • Ensure all quotes, SOWs, and opportunities are accurate, well-documented, and aligned with company standards.
  • Present scopes and proposals to clients, clearly outlining deliverables, timelines, and expectations.

Procurement & Licensing

  • Oversee procurement and purchasing for all vendors. Managing pricing, renewals, and delivery logistics.
  • Place and track all vendor orders, including hardware, software, and licensing.
  • Coordinate shipping, delivery, and RMAs, ensuring accuracy and timely resolution.
  • Manage and renew client licensing through Ingram Micro, staying ahead of renewals and product changes.
  • Conduct monthly cadence calls with Ingram Micro to review pricing updates, Microsoft program changes, and renewal schedules.

Client Relations

  • Serve as the day-to-day point of contact for clients — maintaining communication, updates, and coordination across departments.
  • Conduct monthly client IT alignment calls to review performance, upcoming projects, and technology recommendations.
  • Manage escalations between clients and engineering, ensuring quick resolution and client satisfaction.
  • Research and recommend new licensing and technology solutions aligned with client needs and budgets.

Sales Operations Support

  • Support sales efforts by preparing quotes, scoping projects, and managing opportunities within ConnectWise.
  • Run ConnectWise demos during prospect meetings to demonstrate Mindcore's operational transparency and value.
  • Track opportunities, quotes, and SOW conversions — ensuring seamless transition from proposal to signed agreement.
  • Maintain consistent follow-up with prospects and clients to ensure clear communication and next steps.
  • Ensure accurate synchronization between ConnectWise CPQ and PSA for quoting, billing, and forecasting.
  • Deliver structured reporting and metrics to leadership to guide project progress, sales forecasting, and financial visibility.

Operational Excellence

  • Maintain alignment between departments — enforcing accountability and adherence to processes.
  • Identify inefficiencies and drive process improvements across projects, procurement, and client operations.
  • Support cross-functional initiatives to improve communication, visibility, and performance tracking.

Required Skills & Qualifications

  • 5+ years of experience in IT project management or business operations, preferably within an MSP environment.
  • Advanced knowledge of ConnectWise PSA and ConnectWise CPQ (quoting, project setup, ticketing, reporting).
  • Proven experience managing IT projects, from scoping to delivery and post-implementation review.
  • Strong technical understanding of IT infrastructure, hardware, software, and licensing.
  • Exceptional communication, presentation, and client management skills.
  • High attention to detail with the ability to juggle multiple priorities and deadlines.
  • Experience with vendor management and procurement (Dell, Ingram Micro, CDW, Microsoft, etc.).
  • Proficient with Microsoft Office Suite and Microsoft Project.

Preferred Qualifications

  • Experience in a Managed Service Provider (MSP) or IT services environment.
  • Familiarity with SaaS licensing models and Microsoft 365 ecosystem.
  • Strong business acumen with a focus on process optimization and continuous improvement.
  • Demonstrated ability to collaborate effectively across technical and non-technical teams.
