We are seeking a professional and personable Receptionist to serve as the first point of contact for our organization. Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems efficiently, directing calls accurately and professionally while maintaining excellent phone etiquette.
- Handle incoming correspondence, including emails, mail, and deliveries, ensuring timely distribution.
- Maintain the front desk area in a clean, organized manner to project a professional image.
- Perform data entry tasks with high accuracy using Microsoft Office applications and Google Workspace tools.
- Schedule appointments and manage calendars for staff or executives, coordinating meetings effectively.
- Support office management activities such as filing, proofreading documents, and maintaining office supplies inventory.
- Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial record-keeping.
- Provide customer support by addressing inquiries promptly and professionally across various channels.
- Support clerical duties including typing correspondence, preparing reports, and maintaining organized filing systems.
- Collaborate with team members to improve office procedures and enhance overall efficiency.
- Serve as a personal assistant when needed, managing time-sensitive tasks with discretion and professionalism.
Skills
- Exceptional organizational skills with the ability to multitask in a fast-paced environment.
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry skills.
- Excellent communication skills—both verbal and written—with an emphasis on professional phone etiquette.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Experience with front desk operations and multi-line phone systems is essential for seamless communication flow.
- Knowledge of office management practices combined with clerical experience enhances efficiency in daily tasks.
- Familiarity with QuickBooks or bookkeeping software is advantageous for supporting financial tasks.
- Attention to detail in proofreading documents and maintaining accurate records is critical.
- Time management skills that enable prioritization of tasks while maintaining professionalism under pressure.
- Previous experience as a medical or dental receptionist is beneficial but not mandatory; relevant administrative or personal assistant experience is also valuable.
