Mail Services Associate

Position Summary:

The Mail Services Associate is responsible for the efficient handling, sorting, and distribution of all incoming and outgoing mail and packages. This position plays a key role in maintaining timely, accurate, and secure delivery of correspondence and materials throughout the organization, while providing exceptional customer service and support to internal staff.

Main Duties and Responsibilities:

  • Sort and distribute all incoming mail, ensuring items are routed to the correct location.
  • Prepare and process outgoing mail and packages, including interoffice and external deliveries.
  • Receive, log, and track FedEx, UPS, and other courier packages accurately.
  • Perform two interoffice mail runs per day between designated buildings.
  • Manage and maintain postage meter and related mailing equipment.
  • Keep accurate records of package logs and delivery confirmations.
  • Cover the receptionist desk during lunch breaks or emergencies as needed.
  • Maintain a clean and organized mail area.
  • Complete all required training sessions and comply with company procedures.
  • Perform additional duties as assigned by the Supervisor or Manager.

Qualifications and Requirements:

  • Reliable transportation and excellent attendance required.
  • Minimum 1 year of experience in an office, mailroom, or customer service environment.
  • 1–3 years of experience using Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and time management skills with the ability to handle multiple priorities.
  • Excellent verbal communication and phone etiquette.
  • Strong customer service orientation and professional demeanor.
  • Demonstrated reliability, initiative, and ability to work independently or as part of a team.
  • Proven ability to remain calm and effective under pressure.
  • Sound judgment and problem-solving skills.
  • Ability to handle confidential and sensitive materials appropriately.
  • Must be flexible and adaptable to an ever-changing work environment.
  • Must be able to lift up to 50 lbs.
  • Must pass required background check
