Position Title: Office and Payroll Administrator
About Us:
American Recycling is an electronics recycling company specializing in the responsible recycling of old computers, laptops, tablets, cell phones, and other electronic equipment. We are seeking a skilled Office and Payroll Administrator to manage financial and administrative functions, with a strong focus on QuickBooks, payroll, and banking-related activities.
Job Summary:
We are seeking a dependable professional to manage daily office operations and financial tasks. The ideal candidate should be detail-oriented, trustworthy, and skilled in QuickBooks, payroll processing, and overseeing bank transactions, loans, and related documentation.
Key Responsibilities: Payroll & Employee Records
- Process bi-weekly payroll accurately and on time.
- Maintain payroll databases, including tax withholdings, benefits, and time-off accruals.
- Respond to unemployment claims, wage garnishments, child support orders, and employment verifications.
- Prepare and submit certified payrolls.
- Issue W-2 forms and ensure compliance with tax reporting requirements.
QuickBooks & Financial Management
- Manage accounts payable and receivable using QuickBooks.
- Reconcile bank statements and company credit card accounts.
- Deposit customer checks and record payments in QuickBooks.
- Prepare and assist in loan applications or documentation as directed by the President.
- Monitor and pay recurring bills, including utilities, insurance, and vendor invoices.
Banking & Loan Coordination
- Work directly with banks for deposits, transfers, and loan-related documentation.
- Maintain organized records of business loans, repayments, and financial agreements.
- Assist the President with financial statements and documents required for credit or loan processing.
Office Management & Administrative Support
- Oversee general office operations to ensure smooth workflow.
- Maintain office supplies and inventory.
- Prepare forms, reports, and correspondence as directed by the President.
- Communicate with vendors, clients, and service providers professionally.
- Support special projects and other administrative tasks as needed.
Qualifications & Skills:
- Minimum 3 years of payroll or accounting experience.
- Strong knowledge of QuickBooks and Microsoft Office (Word, Excel, Outlook).
- Experience with bank transactions, loan paperwork, and account reconciliation.
- Excellent attention to detail and accuracy.
- Strong organizational and multitasking skills.
- Ability to communicate clearly and professionally.
- Self-motivated, dependable, and able to meet deadlines.
