LifeSong, Inc. is a non-for-profit 501(c)3 that supports individuals with developmental and intellectual disabilities. Our vision is to esteem and empower the people we support through Community-Based Day Habilitation and Supported Employment Services. We achieve this vision by helping to expand life choices for the people we support, increase their social awareness, achieve personal satisfaction and help them to attain greater independence so each person can reach their fullest potential. As we have grown we are expanding our finance department to include a Bookkeeper.

Position Overview:

The Bookkeeper will have a variety of activities and responsibilities which require a certain level of flexibility and priority with accurate, ethical, prompt attention to detail. The duties of the Bookkeeper are outlined below with the potential of additional related duties upon request.

1. Implement the vision & mission of LifeSong: "To love, enhance, equip, and inspire lives of the developmentally disabled and their families."

2. Billing & Utilization Review

Daily: Review & approve daily documentation on FileMaker

Weekly: Millin billing submission, unit utilization review & update, file/label in binder

Monthly: Access VR review and billing submission

3. Accounts Receivable

Weekly: Record payments received (Medicaid remittance forms, Acces-VR, donations, sales, etc.)

As Needed: Create invoices, make/record deposits

4. Accounts Payable

Weekly: Enter bills

Bi-weekly: Pay bills: print checks, get approval to pay & checks signed, print/mail/file (pay on time)

As needed: Calculate the stipends for sold items, complete/file stipend forms, pay individuals with cash

5. Petty Cash Reconciliation

Bi-weekly/as needed: Reconcile petty cash documentation provided by the custodian of petty cash, verify receipts, identify tax paid, obtain approval & signatures, print check to replenish, file reconciliation with attached scanned receipts in binder.

Weekly (in summer): Provide cash box for farmer's market, reconcile cash sales

As needed: Provide cash a requested/approved for program trips, reconcile receipts post trip

Annually: Provide cash boxes, square set-up for annual events (Dash, Extravaganza)

6. Purchasing

As requested (within a week): Order approved purchases online or in store at regularly used vendors, maintain supply request binder (attach request form with receipt and packaging receipt- stamp received)

As needed/approved: group of Hoffman car wash, defensive driving, first aid/CPR/AED codes

7. Statement Reconciliation

Monthly: Reconcile monthly bank statements in QuickBooks, save reconciliations

Monthly: Reconcile monthly Chase Ink MasterCard statement in QuickBooks, verify signed receipts are posted to proper accounts, scan receipts, attach all receipts in order to statement & file.

Monthly: WEX Fleet card statement verification process

8. QuickBooks Entry

Weekly: Billing invoices

Weekly: Accounts Receivables

Weekly: Accounts Payables

Weekly: Enter debits (purchase receipts) in QuickBooks

Bi-weekly/as needed: Reconcile petty cash, donation invoices, other activities

9. Record-keeping

Weekly: Scan, file receipts, invoices, purchase requests, statements, etc. as needed

As requested: Maintain car wash binder and receipts, supply tickets upon request attached used receipts

As needed: Record trainings on individual employee sheets, copy & scan certificates, track when people are due for CPR/First Aid and Defensive Driving

10. Fiscal Audits

Annually/as needed: Provide necessary documentation as requested by a supervisor.

11. Other reporting

As needed: Provide supervisor specific requested information.

Level of Access:

The Bookkeeper has entry level access to the server and QuickBooks relative to their position only.

Conditions of Employment:

The Bookkeeper must be current on all training as required by LifeSong Inc. The Bookkeeper must understand the sensitive nature of the company information they will be knowledgeable of/have access to and commit to keeping such confidential.

Qualifications Required:

1. A Bachelor's Degree with relevant coursework, 1-year experience in the field preferable

2. Valid NYS driver's license and reliable transportation

Pay/Work Week

The current starting salary for this position is $55,000 - $65,000 annually. Employees are required to work a 40-hour work week and are paid Bi-weekly.
