We are a small, fast-paced CPA firm committed to providing accurate and timely financial and tax services to our clients. We are seeking a reliable and detail-oriented Bookkeeper & Office Assistant to be the backbone of our operations.
Job Summary
This position is essential to the daily functioning of the firm. The ideal candidate will be responsible for recording, reconciling, and maintaining accurate client financial records in QuickBooks, along with supporting general office tasks. During tax season, the focus shifts toward preparing and organizing client tax information and assisting with personal tax return data entry. This is an in person, Monday - Friday 9:00 AM - 5:00 PM position. Addiitional hours may be required during tax season, including some Saturdays.
Key ResponsibilitiesBookkeeping Duties:
- Data entry and transaction classification in QuickBooks (Online and Desktop).
- Monthly reconciliation of bank and credit card statements.
- Maintain accurate and organized financial records for multiple clients.
Office Support Duties:
- Answer incoming calls and assist clients as needed.
- Handle incoming and outgoing mail.
- Perform filing, scanning, and document organization.
- Assist with tracking and managing firm receivables.
- Prepare and organize documents for client appointments.
Tax Season Support:
- Download and print source documents from email and client portals.
- Pull and prepare client files for tax appointments.
- Enter tax data into tax software accurately and efficiently.
Requirements
- Proven experience with QuickBooks and general bookkeeping.
- Ability to perform write-up work, bank reconciliations, and payroll entries.
- High level of accuracy and attention to detail.
- Punctual, dependable, and able to work independently.
- Strong organizational and multitasking skills.
- Excellent communication and client service skills.
- Comfortable with basic office equipment and software.
Preferred Qualifications
- Prior experience in a CPA or tax firm setting.
- Familiarity with tax preparation software is a plus.
Compensation & Benefits
- Hourly rate: $30–$35/hour, depending on experience.
- Paid Time Off (PTO): Includes front-loaded sick/personal time and additional PTO accrual throughout the year. Details provided upon offer of employment.
