POSITION SUMMARY

The Event Sales Coordinator will play an integral role in assisting the Director of Events and Events Sales Managers. This role will help the team establish the Jean-Georges Brand as a customer- and client-focused, premium, multi-purpose entertainment venue with event experiences that are second to none. The Event Sales Coordinator will maintain a firm understanding of the brand, guests, clientele, and event goals. The Event Sales Coordinator should have a love for special event management, provide genuine concierge-style service to all incoming guests, be an enthusiastic professional, and have the ability to build relationships with clients.

ESSENTIAL JOB RESPONSIBILITIES

  • Provide excellent event administrative service for the department by recording event data, preparing letters and other correspondence, and assisting with event planning.
  • Cultivate a deep understanding of each individual location under the JGM umbrella.
  • Respond efficiently and thoughtfully to all incoming leads via Website, Telephone, Email, and other channels and actively move the business through the sales process.
  • Assist with checking restaurant menus daily and updating collateral and Tripleseat as needed. Communicate menu changes to clients in a timely and professional manner ensuring updates are accurately reflected on the BEO.
  • Assist with event agreements or correspondences that are sent to guests or clients who have booked functions with the Events Manager.
  • Assist sales team by updating BEOs, client guest count, and event calendar management between CRM and online reservations.
  • Support with the processing of events bookings, chasing up calls and efficiently communicating with customers or clients, liaising, or working in relation with other departments about guest or client requirements or needs.
  • Prepare and Print Event Menus and other requested collateral
    (ex. Name Cards, Beverage Signage, Drink Tickets)
    – InDesign Experience a plus.
  • Work collaboratively and provide effective communication across various internal departments, including operations, culinary, and accounting team, including coordinating meeting times, sending out invitations, and preparing materials for internal meetings.
  • Support Events Team with the life cycle of event planning including, but not limited to, planning site visits/calls, menu tastings, banquet event order and resume document generation, timeline construction, floor plan design, billing estimates.
  • Day of partnership with the sales team, client, and event planner to ensure seamless execution of Events/BEOs as contracted, providing hands-on support during events, troubleshooting last-minute issues, and coordinating with internal teams to deliver an exceptional guest experience.
  • Assist in liaising with third-party vendors (e.g. florists, AV personnel, rental companies) to ensure timely delivery and execution of event elements.

KNOWLEDGE, EXPERIENCE AND SKILLS

  • A minimum of two (2) years relevant experience preferred
  • Associate degree or bachelor's degree
  • Highly organized, intuitive and detail-oriented
  • Ability to produce a substantial quantity of high-quality work efficiently in a high-volume environment.
  • Ability to multi-task with multiple priorities and events happening in rapid succession. Time management is essential.
  • Competent with database software including Excel, Word, Outlook, and Tripleseat
  • Self-starter, strong work ethic, and ability to work independently
  • A love for a fast-paced environment with a growth mindset
  • Professional demeanor, polished appearance with the ability to exceed guest's expectations
  • Ability to work flexible hours; must be able to maintain a schedule availability flexible to the business demands. Occasional evening/weekend event attendance required

COMPENSATION

  • This position offers a competitive annual salary of
    $70,000
    , commensurate with experience.

PHYSICAL REQUIREMENTS

  • Ability to perform the essential job functions consistently, safely and successfully with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Must be able to lift and carry up to 25 lbs.
  • Ability to sit and stand for prolonged periods and climb steps regularly.
  • Ability to physically maneuver through work areas; bend, lift, carry, reach/extend arms, and hands above shoulder height frequently, or otherwise move in a constantly changing environment.
