Position Overview

The Finance Account Manager (Controller) is responsible for hands-on management of all core finance and accounting functions for MCIE. This role ensures accurate bookkeeping, timely financial reporting, and compliance with nonprofit accounting standards. The Controller manages grant and contract reporting, payroll and benefits administration, and oversees all financial operations using platforms such as QuickBooks, Melio, PayPal, and others. The Controller works collaboratively with the CEO, communications, and program teams to support organizational goals.

Experience & Expertise

  • 5+ years progressive nonprofit accounting experience.
  • Proficiency with QuickBooks and other nonprofit finance platforms.
  • Experience with grant/contract budgeting and reporting.
  • Strong communication skills and high integrity.
  • Prior responsibility for payroll/benefits administration preferred.

Roles & Responsibilities

  • Manage all aspects of the general ledger, including reconciliations, accounts payable/receivable, and cash management.
  • Oversee monthly, quarterly, and year-end close; prepare timely and accurate financial statements and variance analyses for CEO and Board review.
  • Maintain internal controls and documentation to ensure compliance and transparency; proactively recommend updates in response to regulatory changes or organizational needs.
  • Coordinate the annual operating budget process; translate CEO/Board direction into departmental budgets and forecasts.
  • Track performance against budget and provide regular updates to leadership.
  • Prepare grant and contract budgets; produce required financial reports for funders and partners, ensuring compliance with Maryland State Department of Education and other grant requirements.
  • Serve as the primary contact for annual audit and 990 preparation with external auditors/CPA.
  • Ensure compliance with GAAP for nonprofits, state and federal regulations, and funder requirements.
  • Maintain and update finance policies and procedures as needed.
  • Process or oversee payroll and benefits administration; maintain employee records for payroll and audits.
  • Handle administrative HR tasks related to payroll and benefits; escalate policy or complex personnel matters to the CEO.
  • Administer finance systems (accounting software, expense management, bill pay); experience with platforms such as QuickBooks, Melia, PayPal, Little Green Light, and Give Lively is a plus.
  • Support Board finance materials and present factuals when requested.
  • Assist in preparing accurate financial data for annual reports and maintaining our Candid profile.
  • Work collaboratively with cross-functional teams to ensure financial processes support organizational goals.
  • Maintain a regular work schedule and be available for scheduled video check-ins with the CEO.
  • Prepare and deliver timely financial reports for weekly management team meetings and bimonthly board meetings.
  • Respond promptly to questions and requests from team members via email and workplace messaging systems.
  • Support organizational change by adapting financial processes and systems as needed.

Compensation & Benefits

  • Hourly Rate: $45–$60/hour, commensurate with experience and credentials.
  • Annualized Range: $46,800–$74,880/year (based on 20–24 hours/week).
  • Location: Remote (U.S. based; candidates may reside anywhere in the United States).

Contract Terms

This is a contractual position and does not include employee benefits such as health insurance, paid time off, retirement benefits, etc.
