Administrative Assistant

General Summary:
The Administrative Assistant is responsible for all receptionist and clerical duties for the Vista Grande Villa front office. This role provides direct administrative support to the Resident Experience Manager and other Department Directors, ensuring efficient office operation and presenting a professional and courteous image to all residents, guests, and staff.
Principal Duties & Responsibilities:
- Greet and provide prompt, courteous assistance to all visitors, residents, employees, and vendors.
- Answer, screen, and route all incoming telephone calls in a courteous, professional manner.
- Operate a busy telephone switchboard and two-way radio system.
- Perform monthly OIG checks for all VGV staff.
- Provide basic facility information and brochures; forward admissions inquiries to the marketing department.
- Assist Directors and supervisors with document printing, preparation, and assembly as needed.
- Open and close the reception desk, securing all files, keys, and equipment.
- Perform clerical duties including sorting mail, scheduling appointments, and managing office supply inventory.
- Accurately accept and record payments, reservations, and appointments as directed.
- Maintain and balance a cash drawer, petty cash, and prepare bank deposits.
- Use a computer to produce business reports and letters efficiently, with proficiency in proper grammar and spelling.
- Communicate messages clearly and promptly to the appropriate staff.
- Perform any other tasks as assigned by the supervisor.
Qualifications:
- High School graduate or equivalent preferred.
- Ability to communicate efficiently in English using proper grammar in a pleasant manner.
- Proficient typing skills and experience with standard business machines (computer, switchboard, printer, etc.).
- Must be able to handle multiple routine tasks and follow specific instructions.
- Committed to providing excellent customer service.
Physical Requirements:
- Primarily a sedentary role with 75% of the day spent sitting, standing intermittently, and bending.
- Must be able to lift and carry up to 20 pounds.
- Requires manual dexterity to operate office equipment and continuous mental/visual attention.
- Must be able to function efficiently despite frequent distractions and interruptions.
