We are seeking a professional, bilingual (English/Spanish preferred) Administrative Assistant / Office Coordinator to join our team.

This position requires strong organizational skills, professionalism, and prior office experience in the construction or roofing industry.

Responsibilities

  • Manage daily office operations and maintain a clean, organized workspace.
  • Answer and route phone calls and emails promptly and professionally.
  • Schedule estimates, inspections, and crew assignments.
  • Prepare and send proposals, invoices, and contracts under management direction.
  • Communicate with clients, suppliers, and insurance companies as needed.
  • Maintain job files, digital records, and customer databases (CRM).
  • Track project progress, payments, and documentation for insurance and licensing.
  • Support management with administrative tasks, scheduling, and project coordination.
  • Handle confidential company and client information with discretion.

Qualifications

  • Minimum 3–5 years of experience as an administrative assistant, preferably in construction, roofing, or restoration.
  • Excellent verbal and written communication in English; Spanish is a strong plus.
  • Strong computer proficiency — Google Workspace, Excel, Word, and QuickBooks (or similar).
  • Highly organized, dependable, and detail-oriented.
  • Ability to multitask and manage priorities in a fast-paced environment.
  • Professional appearance and demeanor at all times.
  • Strong problem-solving and follow-up skills.
  • Must be legally authorized to work in the U.S.
