As we expand operations in Greater Philadelphia, we're hiring a Part-Time Executive Assistant to support the Managing Director across both personal and professional priorities — helping keep fast-moving projects on track and ensuring daily momentum.
About the Role
This position blends personal support (calendars, travel, communications) with business operations support (projects, client coordination, proposals). You'll act as a trusted partner, ensuring priorities run smoothly while contributing to broader business initiatives.
It's a strong fit for someone organised, proactive, and adaptable who enjoys working in a dynamic, entrepreneurial environment.
Key Responsibilities
Personal & Administrative Support
• Manage scheduling, calendar coordination, and appointments
• Coordinate travel planning and personal logistics
• Handle communications (emails, calls, messages) with discretion
• Streamline daily tasks and keep priorities aligned
Business & Operational Support
• Prepare documents, presentations, and proposals
• Support client meetings, follow-ups, and coordination
• Track projects, deadlines, and deliverables
• Organise files, digital assets, and information systems
• Provide research, reporting, and operational support
Qualifications
• Prior experience as an Executive Assistant, Personal Assistant, or in a similar role
• Strong organisational skills with the ability to prioritise and adapt quickly
• Excellent written and verbal communication skills
• Proficiency with Microsoft Office, Outlook, Teams; familiarity with Notion/CRMs a plus
• Professional, discreet, and trustworthy with sensitive information
• A self-starter able to work independently while staying aligned with leadership
Growth Opportunity
This role begins as part-time support (20–25 hours per week) but has the potential to grow into a fulltime role as Rekall expands U.S. operations. The right candidate will play a meaningful part in scaling an innovative company shaping the future of sustainability and manufacturing.
