Sales Support Specialist

About the Role
We're seeking a proactive, detail-oriented Sales Support Specialist to join our growing team in Whitehall, PA. In this key role, you'll support our Vice President of Sales and national sales organization by ensuring smooth order flow, precise data management, and excellent communication with customers, brokers, and internal partners.
You'll work closely with Sales, Finance and Logistics teams to keep operations efficient and customers satisfied. This position is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in accuracy and teamwork.
What You'll Do
Sales & Customer Support
- Manage customer and broker contracts, maintaining all relevant documentation.
- Act as a key contact for customer and broker inquiries, product updates, and information requests.
- Coordinate sample and show orders, ensuring timely fulfillment and tracking.
Order & Data Management
- Enter, process, and monitor customer orders, ensuring accuracy and timely communication of delivery status.
- Maintain customer master data in the ERP system — including addresses, pricing, payment terms, and item information.
- Keep product and customer data updated across external platforms and customer portals.
Finance & Reporting Support
- Collaborate with Finance to track open and overdue invoices, provide proof-of-delivery documents, and help resolve payment issues.
- Create and maintain Excel-based reports and dashboards for sales and performance tracking.
Cross-Functional Communication
- Participate in Sales and Customer meetings and act as a communication bridge between Sales, Supply Chain and Logistics.
- Support regulatory and customer documentation needs (product certificates, compliance forms, food quality documentation, etc.).
- Contribute to special projects and process-improvement initiatives to streamline daily operations.
What We're Looking For
- Education: Associate's degree (or higher) in Business, Administration, or a related field, or equivalent work experience.
- Experience: 1–3 years in Sales Support, Sales Operations, or Customer Service (CPG or B2B preferred).
- Technical Skills:
- Advanced Microsoft Excel (pivot tables, complex formulas, data visualization).
- Proficiency in Microsoft Office (Word, Outlook, PowerPoint).
- Experience with ERP systems (SAP, Acumatica, NetSuite, or equivalent).
- Soft Skills:
- Highly organized with strong attention to detail.
- Clear and professional communicator.
- Customer-oriented and solution-focused.
- Analytical thinker who enjoys working with data.
- Collaborative team player with a proactive mindset.
