Grant Proposal Development Specialist (Remote/Hybrid)

Required Qualifications (as evidenced by an attached resume):

Bachelor's degree (foreign equivalent or higher) and four (4) years of full-time experience developing proposals, preparing/submitting grant applications for managing awards from federal, state, local government, or private agencies/sponsors OR Masters degree (foreign equivalent or higher) and two (2) years of full-time experience developing proposals, preparing/submitting grant applications or managing awards from federal, state, local government, or private agencies/sponsors. Highly proficient, professional experience in spreadsheet management, internet research, and word processing applications (Microsoft Word, Excel, PowerPoint, Google Workspace).

Preferred Qualifications:

Masters degree (foreign equivalent or higher) in Biomedical/Health Sciences, Natural Sciences, Applied Sciences, Social Science, Engineering or a related field. Sponsored programs (pre-award) experience. Experience conducting research (research experience as part of a doctoral training program will be considered). Experience submitting proposals to federal sponsors such as NSF, NIH, DOD, and DOE. Experience submitting training grant proposals. Experience writing, editing and/or producing written content for publications or grant applications. Experience working in a higher education setting or academic medical setting. Experience editing and performing quality assurance review of documents. Budget development and/or management experience on a grant. Experience in leading or managing teams (e.g. supervision or mentoring of staff).

Brief Description of Duties:

The Office of Proposal Development (OPD) is one of six units within the Office for Research and Innovation whose mission is to support Stony Brook's research and scholarly community in their pursuit of extramural funding. OPD's primary focus is on large-scale and/ or interdisciplinary proposals involving multiple departments and external collaborators. OPD works with Principal Investigators across campus to develop proposals for research spanning all disciplines. The Grant Proposal Development Specialist is responsible for supporting the proposal development process including identifying funding opportunities and assisting with all aspects of the proposal development process prior to submission to an external sponsor.

The Grant Proposal Development Specialist (PDS), is a unique position supporting Principal Investigators and research teams across campus with the development of their grant applications to external sponsors, focusing primarily on large, complex proposals to federal sponsors. The Grant Proposal Development Specialist will serve as the administrative lead throughout the development process, and be responsible for all proposal components. The Grant Proposal Development Specialist will develop and maintain a timeline for the proposal team to ensure accurate and timely submission to the Office of Sponsored Programs (OSP). The Grant Proposal Development Specialist reports to the Assistant Director of the Office of Proposal Development (OPD) and will serve as a senior member of the OPD team, which is led by the Senior Associate Vice President for Research Development and Partnerships. The incumbent must possess outstanding written, verbal, and interpersonal communication skills; be an independent self-starter with strong organizational and time management skills; have exceptional attention to detail and a proven track record of effective problem solving and decision making.

  • Provide proposal development support throughout the funding request process, including but not limited to:
  • Decipher and extract key proposal requirements from the funding opportunity. Develop a timeline of milestones to facilitate proposal planning, development, and adherence to the application guidelines. Initiate and maintain regular communications and meetings, create and manage a virtual shared workspace for the proposal development team to ensure timely progress towards successful proposal submission.
  • Serve as the administrative lead and manage the development of all components of a grant application. This includes developing and maintaining a checklist, tracking action items and deliverables, and managing all proposal documents including budgets/justifications according to sponsor and University requirements, biosketches, subcontract documents, letters of support and other required materials.
  • Coordinate with multiple SBU departments and external organizations to facilitate University-wide and other large-scale collaboration and/or interdisciplinary proposals.
  • Assist faculty with writing, editing and reviewing non-technical portions of the proposal. Provide critiques of proposal documents in terms of clarity, editing, format and consistency with agency requirements.
  • Work with investigators to submit complete proposals to the Office of Sponsored Programs for final review, approval and submission to external sponsors.
  • Produce resources to advance research at Stony Brook, including templates, project management documents and other web-based/public relations resources.
  • Develop and offer resources and avenues to promote new collaborations and research interests within and beyond the campus and SUNY.
  • Provide training on internal processes as well as grant writing or related professional development opportunities.
  • Gather, track and analyze related metrics and prepare reports, spreadsheets, graphics and other correspondences.
  • Support early career investigators in establishing and managing research funding. Provide training on internal processes as well as grant writing or related professional development opportunities.
  • Provide a broad range of administrative support for day-to-day operations:
  • Supervise or mentor other proposal staff.
  • Host and arrange workshops or other on-campus or off-campus events, travel to conferences.
  • Perform informational searches, gather/enter data and research materials.
  • Continually improve, practice and document SOPs and maintain internal databases for office operations.
  • Bring innovative new ideas to grow support for research activities.
  • Other duties as assigned.

Special Notes:

The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
