About the Position:

Mountainside is looking for a professional, organized, and compassionate Administrative Assistant to support our Recovery Coaching team in NYC. You'll be a key part of creating a welcoming and smooth experience for clients, families, and staff while keeping the team running efficiently.

Schedule:

Monday through Friday, 9:00 am - 5:30 pm, evenings and weekends as needed.

What You'll Do:

• Assist with client and family needs, including phone calls and general inquiries.
• Help clients with telehealth setup, intake, and orientation.
• Manage scheduling for client sessions, staff PTO, meetings, and events.
• Maintain client and staff records, billing, and departmental documentation.
• Support onboarding of new hires and interns.
• Organize events, track feedback, and assist with departmental projects.
• Provide general administrative support, including emails, calls, and filing.
• Provide administrative support for the RCP, including assisting with the Utox process for NYC OPS.
• Help maintain a collaborative approach with NYC OPS clients to ensure there are no barriers to additional support, including sober monitoring for alcohol clients and other Client Support Services; support all NYC functions and OPS collaboration.
• Coordinate Client Support Services, including scheduling and arranging client and coach travel as needed.

What We're Looking For:

• Must be highly organized and detail-oriented required
• Must have strong communication and customer service skills required
• Must be comfortable using Microsoft Office, Adobe, scheduling software, and EMR systems required
• Must be able to multitask in a fast-paced, client-focused environment required
• Must be a collaborative team player who supports recovery-focused programs required
• Must be flexible to work occasional evenings or weekends required
• Experience in recovery coaching or substance use treatment preferred

Qualifications:

• High school diploma or equivalent required.
• Associate's or Bachelor's Degree preferred
• Administrative or office experience required
• Strong organization, data entry, and problem-solving skills required

Compensation:

The base rate of pay for this position is $ $31.25 per hour. Actual pay is determined based on a number of job-related factors including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, performance, and working conditions.
