Pay Rate: $23.5/hr. Gross weekly : $940
Description
:
Performs a broad range of clerical, administrative, and operational activities to support the efficient workflow of the Cedars-Sinai Biomanufacturing Center. Coordinates and processes online product orders, reviews and tracks associated agreements, and serves as a primary point of contact for client inquiries. Manages monthly financial operations, including generating invoices, reconciling payments, and maintaining accurate accounting records. Oversees logistics for product shipments and ensures proper documentation and regulatory compliance. Develops and maintains internal tracking systems for agreements, orders, and fiscal reporting to enhance efficiency and data accuracy. Assists leadership with preparing reports, compiling metrics, and facilitating the completion of service and transfer agreements. Supports staff by coordinating schedules, meetings, and administrative priorities to ensure seamless departmental operations.
Primary Duties and Responsibilities
- Process weekly online orders, review MTAs and purchase orders for accuracy, coordinate legal reviews, and prepare Certificates of Analysis and shipment documentation.
- Provide customer support for cell product inquiries, guide clients through ordering processes, and ensure timely resolution of order or agreement issues.
- Generate monthly pass-through and service invoices via QuickBooks, reconcile payments, and maintain
- accurate AR tracking and fiscal documentation.
- Arrange and track weekly FedEx shipments and pickups for products and services, ensuring compliant labeling and timely delivery.
- Create and manage internal trackers for MTAs, license agreements, and shipped vials to streamline workflows, automate reminders, and support annual reporting.
- Compile data for fiscal year and executive reports and assist in preparing service and transfer agreements in coordination with CBC leadership.
- Schedules appointments and meetings. Makes arrangements for meetings, conferences, or travel for an individual, group or department.
- Researches and responds to inquiries and calls, may escalate to other levels of the organization as appropriate.
