Role Description

This part-time hybrid role for an Accounting Specialist at the Science Mill is located in Johnson City, TX, with some work-from-home flexibility once training is completed. The Accounting Support Specialist will be responsible for preparing and managing financial records, performing journal entries, and supporting various accounting functions. Day-to-day tasks include analyzing financial data, assisting in budget preparation, and ensuring compliance with accounting standards.

Key Responsibilities

Accounting Support

  • Enter weekly sales data into accounting software (e.g., QuickBooks)
  • Process accounts payable, including entering bills and preparing vendor payments.
  • Create and issue accounts receivable invoices for programs, donors, and field trips.
  • Reconcile monthly credit card statements and ensure supporting documentation is attached.
  • Assist with gift shop inventory tracking and reconciliation.
  • Organize and maintain monthly reconciliation files.

Donor & Development Support

  • Enter donations into the donor database.
  • Generate donor acknowledgment and thank-you letters.
  • Assist with ensuring donation records are accurate and up to date.

Office Administration

  • File vendor invoices, payment confirmations, and reconciliation documents.
  • Maintain well-organized digital and paper records for audit and review purposes.

Human Resources Support (To be added as position grows)

  • Create and maintain employee files.
  • File employee-related documents (e.g., I-9s, W-4s, training records)
  • Assist with onboarding new hires, including data entry into QuickBooks or HR systems.

Qualifications

  • Strong Analytical Skills and Finance knowledge
  • Proficiency in Accounting and Journal Entries
  • Working knowledge of Microsoft Office (especially Excel and Word)
  • Effective Communication abilities
  • Attention to detail and organizational skills.
  • Experience with accounting software (QuickBooks, Altru, Financial Edge) is a plus.
  • Ability to handle sensitive and confidential information responsibly.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
