Job Summary

We are seeking a highly organized and proactive Executive Administrative Assistant to join our Credit Union. In this vital role, you will control and manage administrative and other assigned functions for the President, making it possible for the President to focus on other matters associated with directing the Credit Union. This position offers an exciting opportunity to demonstrate exceptional organizational skills, multitask effectively, and contribute to the overall success of our organization.

Duties

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Coordinate and plan events, conferences, and meetings, handling logistics such as venue booking, catering, and materials preparation.
  • Provide executive administrative support including drafting correspondence, proofreading documents, and transcribing meetings or notes with accuracy. Assist the President in aspects related to the Board of Directors and Committee meetings.
  • Perform data entry tasks using various office software like Microsoft Office and QuickBooks for bookkeeping and record keeping.
  • Prepare and distribute promptly monthly minutes ensuring on-time delivery. Update information and provide it to appropriate parties with zero errors.
  • Assist with project coordination by tracking deadlines, preparing reports, and supporting team initiatives to ensure timely completion.
  • Utilize office tools such as DocuSign for document signing processes while ensuring confidentiality and compliance.
  • Support personal assistant duties as needed, including personal scheduling or errands for executives.

Experience

  • Proven experience as an executive administrative assistant or in a similar administrative role with a minimum of five to eight years of similar experience.
  • A bachelor's degree, or (2) achievement of formal certifications recognized in the
  • industry as equivalent to a bachelor's degree.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills with professional phone etiquette and customer service orientation.
  • Ability to handle multiple projects simultaneously while maintaining attention to detail.
  • Previous experience supporting executives or high-level management is highly desirable.
  • Familiarity with event planning, transcription, proofreading, filing systems, and multi-line phone systems enhances your candidacy.
