Position Overview

We are seeking an experienced and organized Administrative Coordinator to oversee daily front office operations for our outpatient counseling clinics. This position supervises a team of receptionists, ensuring smooth client service, efficient scheduling, and consistent communication across locations. The ideal candidate will be detail-oriented, professional, and comfortable balancing administrative management with hands-on support when needed.

Key Responsibilities

  • Supervise and support a team of front desk receptionists across assigned clinics
  • Oversee scheduling, client intake, and administrative workflows to ensure timely, accurate service
  • Provide on-site coverage and temporarily fill in for receptionists during absences or staffing outages
  • Train, coach, and evaluate reception staff performance
  • Develop and maintain front office policies and procedures
  • Coordinate communication between clinical teams and administrative staff
  • Assist with reports, payroll submissions, and operational projects as assigned
  • Maintain compliance with organizational standards, confidentiality, and HIPAA requirements

Qualifications

  • High school diploma or equivalent (associate's or bachelor's degree preferred)
  • Minimum 2 years of administrative or front office experience, preferably in a healthcare or behavioral health setting
  • Prior supervisory or team leadership experience strongly preferred
  • Excellent organizational, communication, and multitasking skills
  • Proficiency in Microsoft Office and familiarity with electronic health record (EHR) systems a plus
