Accounting and Operations Specialist

Position Summary
The Accounting and Operations Specialist will oversee daily accounting tasks, manage general office administration, and assist the owner with fractional CFO engagements. This role requires a proactive, organized, and detail-oriented professional who can perform core accounting functions and contribute to the success of a growing firm.
Key Responsibilities
Accounting and Bookkeeping
- Record and post financial transactions accurately
- Reconcile bank and credit card accounts
- Prepare and process accounts payable and accounts receivable
- Organize and maintain financial records, including receipts and supporting documentation
- Assist with client bookkeeping and financial reporting using QuickBooks Online
Administrative Support
- Maintain client records and standard operating procedures
- Coordinate office supplies and business logistics
- Support scheduling, file management, and internal communications
- Assist in developing templates and conducting research for client deliverables
Client Engagement
- Participate in virtual and onsite client meetings
- Provide professional and courteous support to clients and vendors
- Uphold confidentiality and data security standards
Required Qualifications
- Basic understanding of accounting principles
- Proficiency in Microsoft Excel and general office software
- Experience with QuickBooks Online or similar platforms preferred
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Self-starter with a growth mindset and willingness to learn
Work Environment and Physical Demands
This position operates in a hybrid work environment, combining remote work with occasional onsite client visits and office-based tasks. The role requires prolonged periods of sitting at a desk and working on a computer. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
- Ability to sit, type, and view a computer screen for extended periods
- Occasional lifting of office supplies or files (up to 20 pounds)
- Manual dexterity for keyboarding, filing, and handling documents
- May require travel to client sites within the Buffalo region
- Ergonomic workstation setup is encouraged for remote work
