Description
Summary:
The Purchasing / Inventory Specialist is responsible for managing the procurement and inventory of parts, supplies, and materials necessary to support the sales, service, and retail store. This role ensures that inventory levels are optimized, supplier relationships are maintained, and purchasing activities align with company standards for cost efficiency, quality, and timeliness.

Key Responsibilities
Purchasing & Procurement

  • Source, evaluate, and purchase parts, materials, and supplies required for retail, service, and sales.
  • Obtain and compare supplier quotes to ensure competitive pricing and quality standards.
  • Create and manage purchase orders in the ERP or inventory system.
  • Monitor and track order status, shipping, and delivery schedules.
  • Maintain positive relationships with vendors, negotiate pricing and terms, and resolve discrepancies or issues.

Inventory & Materials Management

  • Coordinate with service and sales departments to forecast material and parts needs.
  • Maintain appropriate inventory levels to support operations while minimizing excess or obsolete stock.
  • Conduct regular inventory counts and reconcile variances.
  • Track inbound and outbound materials, ensuring accuracy of records and system data.
  • Support the organization of the warehouse and ensure proper labeling and storage of parts and materials.
  • Maintain accurate purchasing and inventory documentation.
  • Prepare reports on purchasing trends, vendor performance, and inventory metrics.
  • Support compliance with company purchasing policies and industry regulations.

Collaboration

  • Work closely with sales, service, and operations teams to align material availability with project timelines and customer needs.
  • Communicate proactively with internal stakeholders about order statuses, delivery updates, and inventory issues.

Qualifications
Education & Experience:

  • Experience with ERP or inventory management systems (e.g., SAP, NetSuite, or similar).
  • High School Degree or GED required.
  • AA or AS degree from an accredited college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Skills & Competencies

  • Strong knowledge of purchasing principles, inventory control, and vendor management.
  • Excellent organizational and time management skills.
  • Strong analytical and problem-solving abilities.
  • Proficient in Microsoft Office (Excel, Outlook, Word).
  • Effective communication and negotiation skills.
  • Ability to work independently and as part of a team in a fast-paced environment.

Physical Requirements

  • Ability to lift up to 50 lbs occasionally.
  • Periodic exposure to warehouse and shop environments.
  • Standing, walking, and inventory handling as required.
