Salary: $90,000 - $110,000/year DOE

Position Overview

Under the direction of the Director of Development and in collaboration with program, finance, communications, and executive leadership, the Senior Grant Writer strengthens one of Harmony Project's most important revenue streams by overseeing the full grants lifecycle. This includes prospect research, cultivation support, proposal development, award processing, stewardship, implementation tracking, and reporting.

The Senior Grant Writer ensures that grant-funded programs transition smoothly to program teams for effective implementation and that all funder requirements, timelines, and objectives are met. The individual in this role maintains a well-organized grant management system, advances institutional relationships, and prepares compelling documents that communicate the impact of Harmony Project's work with young people across Los Angeles and North Orange County.

Responsibilities and Duties

Research and Planning

  • Collaborate with the Director of Development, executive leadership, program leads, and board members to integrate grant opportunities into the annual development plan, including targets, prospects, and timelines.
  • Maintain and renew all existing grant-based funding and manage multi-year commitments.
  • Conduct research on private foundations, corporate foundations, and public agencies that align with Harmony Project's mission and geographic footprint.
  • Maintain and routinely update a robust tracking system in Raiser's Edge NXT that includes deadlines, submission dates, narrative requirements, award amounts, reporting commitments, staff contacts, and budget details.
  • Identify new opportunities that support program growth, capital needs, and organizational priorities.

Writing

  • Work closely with program staff, finance staff, the Director of Development, and the Executive Director to articulate program goals, outcomes, and budgets for grant support.
  • Serve as the lead writer for high-priority applications while overseeing and editing drafts prepared by the Grant Writer or consultants.
  • Prepare narrative and budget components that clearly communicate program impact, youth outcomes, and organizational priorities.
  • Coordinate with program leads to gather updated information needed for applications, interim updates, and final reports.
  • Ensure all grant applications and reports are submitted accurately and on time.

Grant Management and Compliance

  • Outline purposes, guidelines, and budget spend-down requirements for restricted grants so program staff understand objectives and compliance needs.
  • Meet regularly with program and operations teams to ensure adherence to grant objectives, allowable costs, and deliverables.
  • Provide oversight and accountability for grant-funded programs through tracking systems, dashboards, progress narratives, and financial updates.
  • Collaborate with the finance department to align grant revenue with the annual budget, support monthly reconciliation, and contribute to audit-related documentation as needed.
  • Work cross-departmentally to gather information, assess progress on grant-funded programs, and prepare accurate data for reporting.

Grant Reporting and Stewardship

  • Prepare timely and accurate progress and final reports for all institutional funders.
  • Provide stewardship support by coordinating updates, emails, calls, visits, and event invitations that keep funders engaged and informed.
  • Work with the Communications team to acknowledge institutional funders in print materials, digital content, and external communications when appropriate.
  • Partner with staff across departments to ensure all other funder obligations are met, including site visits, recognition requirements, and/or cultivation opportunities.

Other Duties

  • Participate in team meetings, trainings, and organization-wide activities as needed.
  • Support development department projects and events when institutional funders are involved.
  • Complete additional responsibilities as assigned.

Candidate Requirements

Education and Experience

  • Bachelor's degree or equivalent nonprofit experience required. A master's degree is a plus.
  • Minimum three to five years of grant writing, grants management, or institutional giving experience within a nonprofit organization.

Knowledge, Skills, and Abilities

  • Outstanding organizational skills with strong attention to detail.
  • Exceptional writing, editing, and interpersonal communication skills.
  • Experience managing private, corporate, and public grants, including compliance, reporting and stewardship.
  • Strong professional presence with initiative, follow-through, and the ability to work independently and collaboratively.
  • Proficiency with Raiser's Edge NXT or similar donor database systems.
  • Familiarity with Grantseeker is a plus.
  • Ability to work in a dynamic, deadline-driven environment and manage multiple priorities at once.
  • Comfort interpreting and communicating program data, budgets, and student outcomes.
  • Strong project management skills.
  • Knowledge of youth development, youth arts education, or K-12 education is preferred.
  • Commitment to Harmony Project's mission to support young people through music education and social-emotional growth.
