We are a growing vacation rental management company dedicated to delivering exceptional service to our guests, homeowners, and vendor partners. We manage properties across major platforms including Airbnb, VRBO, Hostaway, and Breezeway. We're looking for a dependable and organized Office Administrator to join our team and support daily operations.

Job Summary

The Office Administrator will be responsible for answering incoming calls, responding to emails and platform messages, maintaining up-to-date records and listings, and ensuring communication is clearly documented. You'll be the friendly, organized voice and digital presence of our company.

Responsibilities

  • Answer phone calls from guests, property owners, and vendors in a courteous and professional manner.
  • Respond promptly to inquiries via email and messaging platforms (Airbnb, VRBO, Hostaway, Breezeway).
  • Update property listings and company spreadsheets with accurate, timely information.
  • Record and document all communications and call summaries for internal tracking.
  • Coordinate with vendors for property maintenance, repairs, and service schedules.
  • Support owners by providing updates and addressing questions.
  • Perform other administrative tasks as needed to support the office team.

Qualifications

  • Excellent verbal and written communication skills.
  • Strong communication skills, specifically on the phone
  • Strong organizational and time-management abilities.
  • Customer service experience; hospitality or property management background a plus.
  • Comfortable using Google Workspace (Gmail, Docs, Sheets) and messaging platforms.
  • Experience with Airbnb, VRBO, Hostaway, or Breezeway is preferred but not required.
  • Self-starter with the ability to work independently and handle multiple tasks at once.
