Globe Wealth Management, a leading financial planning and investment management firm, is seeking an experienced Administrative Assistant [Operations] to join our growing team. We are looking for a self-motivated individual who takes ownership of their contribution to providing exceptional client service.

Overview:

This role is best suited to those who are highly organized, proactive, and detail oriented. The ideal candidate brings strong administrative and process management skills, creativity, and resourcefulness. The candidate will work diligently to support the financial advisors in delivering exceptional client experience.

Qualifications & Experience:

  • Bachelor's degree preferred; equivalent related work experience considered
  • 3 years of relevant experience, preferably in a professional office environment within financial services or legal services
  • Minimum of 3 years of client services experience in a financial services organization
  • Strong time management skills with the ability to prioritize and balance multiple tasks, work effectively independently and as part of a team
  • Proactive communicator who interacts effectively with all levels of the organization
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.)
  • Aptitude to quickly learn new technologies such as (Advice works, Right Capital, and Net Exchange)
  • Experience in utilizing a Customer Relationship Management (CRM) tool
  • Operational knowledge of FINRA rules and regulations related to financial planning and investment management, and legal services
  • Skills in driving systems improvements with a creative and solution-oriented mindset
  • Exceptional attention to detail and a consistent record of delivering high-quality work
  • Strong collaboration skills with the ability to work effectively in a variety of team scenarios.

Key Responsibilities:

  • Provide comprehensive administrative support to our clients and the team, including calendar management, travel arrangements, and expense processing
  • Exceptional service to clients via inbound and outbound calls, emails, and in-person interactions
  • Open accounts, process account transfers and money movement (checks, ACH) with exceptional follow-up
  • Coordinate internal and external meetings, including agenda preparation, logistics, and material distribution
  • Serve as a liaison for the team to facilitate clear effective communication with the team and clients
  • Create, update, and manage documents, reports, presentations, and process materials for client review and signature
  • Work with the back office to confirm procedures, processes, and documentation for client service
  • Communicate regularly with clients and advisors to coordinate paperwork and follow up after meetings
  • Confirm client information to prepare account opening agreements and investment contract applications, as well as sending them for signature
  • Process transfers of client funds and investment accounts while keeping clients informed of progress
  • Ensure all clients have electronic access to their accounts through our online portals
  • Maintain detailed records of client, prospect, and vendor information in the CRM system
  • Review daily/weekly priorities and take ownership of assigned activities
  • Communicate with the team regarding progress on current tasks, including any potential service needs
  • Perform project-related and ad hoc administrative duties as needed
  • Follow through to make sure all activities are completed in a timely manner and team and clients are notified.

Compliance Requirements:

Candidates must pass a criminal background check prior to starting (FINRA/SIPC requirement) and sign a Confidentiality and Non-Solicitation Agreement.

  • 8-hour shift Mon-Fri
  • Day shift hour lunch

Education:
