*PRIMARY DUTIES & RESPONSIBILITIES

The hiring range for this position is $ $29.80/ hourly.
This is classified as VHBE (Variable Hour Benefit Eligible), where the selected candidate will work an average of 40 hours per week. The selected candidate will be eligible to elect Medical Benefits as well as accrue paid time off and receive 11 paid holidays.
OVERVIEW OF POSITION / DEPARTMENT*
Provides general administrative support and performs complex clerical duties for the Group Violence Intervention (GVI) strategy

*PRIMARY DUTIES & RESPONSIBILITIES*

  • Provides administrative support including preparing meeting agendas, pre-planning and execution of City-sponsored events, and maintain and updating database information for specific department functions
  • Schedules and coordinates calendars for external and internal meetings which include Senior Management, Department Staff, and community partners
  • Receives and responds to a variety of external and internal requests for information, and routes calls and visitors as appropriate
  • Develops and maintains record keeping and reporting systems
  • Provides budget support, including processing department expenditures
  • Drafts, edits, proofreads and prepares correspondence
  • Researches and prepares policies and procedures for departmental and clerical functions
  • Researches, compiles and prepares a variety of materials for technical, statistical and analytical reports
  • Creates reports, graphs, and visual presentations
  • Operates a variety of office equipment including personal computer and varied software
  • Schedules and maintains work load
  • Schedule, coordinate, and assist with special event preparation
  • Coordinates travel arrangements for personnel
  • Performs additional duties as assigned

*MINIMUM QUALIFICATIONS & WORKING CONDITIONS
MINIMUM QUALIFICATIONS*
An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered

*Education:*

  • High school diploma or equivalent (GED) required

*Experience:*

  • At least 2 years progressively responsible administrative support experience including scheduling, event planning/execution, budget support and general research.

*Abilities:*

  • Ability to establish and maintain effective working relationships with employees, citizens and elected officials
  • Communicate effectively both verbally and in writing
  • Handle sensitive situations with tact and diplomacy
  • Prepare and complete special reports, projects, and visual presentations
  • Maintain accurate records
  • Understand records management
  • Understand, interpret, and apply department or division policies and procedures

*Skills:*

  • Strong interpersonal and leadership skills
  • Composition, Grammar, and spelling
  • Skill in the use of computers including spreadsheet design, database programming, word processing, Power Point presentations, and software applications

*Essential Personnel:*

  • When a local announcement of emergency or disaster is declared by the city, all City of Aurora employees may be required to work as essential personnel.

*Physical Demands:*

  • Light physical work lifting no more than 30 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds
  • Frequent hand/eye coordination to operate computer keyboard and office equipment Vision to read and interpret reports, computer data and other written material
  • Frequent speech communication and hearing to maintain communication with employees and citizens
  • Occasional standing/walking – occurs up to 31 minutes to 2.5 hours per shift

*Work Environment:*

  • Works primarily in clean, comfortable environment

*Equipment Used:*

  • Frequently uses standard office equipment including computer, calculator, multi-line telephones, copy/fax machines and postal equipment.
  • This position may require the incumbent to use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
