Job Summary:
The Director of Finance and Administration is a hands-on and participative manager that leads and develops an internal team to support the following areas: finance, business planning and budgeting, human resources, administration, and IT. The role involves both technical accounting duties as well as oversight and leadership to an administrative team.
Duties/Responsibilities:
Financial Management
- Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly and annual financial statements; collate financial reporting materials for Senior Leadership and the Board of Directors, and oversee all financial, program and grants accounting.
- Effectively manage the multiple funding streams of Lilyfield hat include government grants and contracts, medical insurance billing, and charitable contributions.
- Responsibility for and direct oversight of accounting operations including accounts payable, accounts receivable, vendor management, journal entries and reconciliations. This includes participating in the technical process of these operations.
- Comply with regulatory agencies including government agencies, the Guidance for Federal Financial Assistance (CFR 200), and state and local requirements
- Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the board of directors; assess any changes necessary.
- Coordinate the annual 990 filing and act as liaison with the filing firm to assure accurate and timely filing with the IRS and state.
- Oversee and lead annual budgeting and planning process in conjunction with the ED; administer and review all financial plans and budgets; monitor progress and changes; and keep leadership team abreast of the organization's financial status.
- Manage organizational cash flow and forecasting with goal of funding the organization's growth and providing for adequate ongoing liquidity. Improve upon a robust contracts management and financial management/reporting system; ensuring that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
- Update and implement all necessary business policies and accounting practices; improve the finance department's overall policy and procedure manual.
- Effectively communicate and present the critical financial matters to the Executive Director.
- Maintain and update inventories of insurable furnishings, fixtures, and equipment.
Human Resources, Technology and Administration
- Work with Operations Manager to further develop Lilyfield's human resources and administration, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting.
- Ensure that recruiting and onboarding processes are consistent and streamlined.
- Review timecards for accuracy and process biweekly payroll through the organizations 3rd party payroll system. Prepare related journal entries and report time allocation variances to managers to keep organization in line with contractual obligations.
- Responsible for employee benefits, retirement plans, including calculating deductions and remittances.
- Prepare year end 1099 forms for vendors and oversee maintenance of complete vendor and contractor files.
- Work closely with insurance brokers to manage Lilyfield's D&O, Commercial Property, General Liability, Workers Compensation, Cyber Security, Auto liability, and Commercial Umbrella insurance policies along with any other relevant insurance requirements per contracts.
- Working with Operations Manager to mitigate technology risks, and maintain and improve a sound network infrastructure for smooth and efficient operations.
- Working with Operations Manager to oversee and lead organization's Performance and Quality Improvement Program, ensuring completion of quarterly and annual reports, annual plans and timely and accurate data reporting.
- Other duties as assigned.
Financial Justification for the Position:
The position is funded through agency revenue. There are sufficient funds through earned income, government grants and contracts and charitable contributions for this position.

Experience:
At least seven to ten years of overall professional experience. Ideally, six-plus years of broad finance and operational management experience. Government accounting experience is a plus.
Education/Training:
Bachelors in Finance, Accounting or related field. MBA or CPA preferred but not required.

- Experience of final responsibility for the quality and content of all financial data, reporting and audit coordination
- Oversight of human resources
Ability to translate financial concepts to – and to effectively collaborate with- - programmatic and fundraising colleagues who do not necessarily have finance backgrounds - Experience in state and federal grants management
- Willingness to agree to and abide by all policies and procedures including P213 Code of Ethical and Christian Conduct and OP410 Faith Engagement
- Willingness to familiarize self with policies and procedures of Lilyfield as well as requirements of other governing agencies and CFR 200
- Technology savvy with experience selecting and overseeing software installations and managing relationships with software vendors; experience with QuickBooks Online
- Commitment to training programs that maximize individual and organization goals across the organization including best practices in human resources activities
- Be physically, mentally and emotionally capable of performing the assigned tasks and have the skills necessary to perform assigned tasks
- Keen analytic, organization and problem-solving skills which support and enable sound decision making
