Job Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. In this role, you will be responsible for providing comprehensive administrative support to the office and Broker. The ideal candidate will be extremely detail oriented, have high level computer proficiency, excellent communication abilities, and a commitment to delivering exceptional customer service.

Responsibilities

  • Answer incoming lead calls and input them into the tracking system.
  • Send email to leads with brochures and property details from phone calls and Loop Net leads.
  • Check Principals' emails to assist in response to requests and items needed for Buyers/Tenants and manage action items.
  • Assist in drafting of Letter of Intents and Contract Amendments.
  • Prepare and print marketing presentations to be presented to clients.
  • Oversee the updating of Commercial Listing Services, website and social media platforms-Facebook and LinkedIn.
  • Manage new client files in an organized electronic filing system.
  • Invoicing of clients and tracking of payments, including preparation of invoices and calculation of commission amount of completed transactions.
  • Compile Due Diligence items for transactions to send to Buyers/tenants.
  • Ensure all critical dates for contracts are completed on time.
  • Update and prepare new property marketing flyers with existing templates.
  • Order new property signs as needed.
  • Send the client's closing gift baskets.
  • Collaborate with team members to ensure smooth office management and workflow.

Qualifications

  • Proven experience in an administrative role or similar capacity
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Strong typing skills with attention to detail for data entry tasks
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously
  • Familiarity with front desk operations and phone etiquette is essential
  • Strong time management skills to prioritize tasks effectively
  • Ability to work independently as well as collaboratively within a team environment
  • Experience in clerical duties such as filing, proofreading, and customer service
