Job Description

Clinical Scheduling Coordinator

The primary role of the Clinical Scheduling Coordinator is to create a quarterly schedule for all students requiring clinical and simulation rotations and to optimize the clinical experiences for nursing students through collaboration with clinical and simulation faculty, the Clinical Contract & Relationship Coordinator, Clinical Facilitators, the Director of Clinical Practicum/Placement, the Director of Simulation and Lab, and the health care community. This position reports to the Director of Clinical Practicum/Placement.

Responsibilities

Specific duties include, but are not limited to, the following:

  1. Schedules clinical placements for students using excel spreadsheets;

  2. Coordinate with the Clinical Contract & Relationship Coordinator to maintain and enhance our clinical relationships for each clinical site through site visits;

  3. Provides timely and accurate input to the Director of Clinical Practicum/Placement and

Academic Support regarding Clinical Faculty attendance and teaching time;

  1. Collaborates with community resources to schedule quarterly clinical rotations, and to maintain current relationships for future clinical opportunities;

  2. Maintains positive relationships with existing clinical partners;

  3. Appropriately addresses scheduling issues related to students, faculty members, and/or staff during clinical experiences;

  4. Participates in regularly scheduled meetings with clinical office staff and Clinical

Facilitators;

  1. Participates in preparing the annual budget for clinical needs;

  2. Communicates with managers, students, clinical faculty, and clinical liaisons in a timely manner, responding to phone calls and e-mails within 48 hours;

  3. Participates in administrative and faculty related activities, including but not limited to,

Scheduling Committee and other DSN committees of interest as needed;

  1. Ensures clinical information including student attendance is appropriately entered and maintained in CampusVue on a weekly basis, in collaboration with Clinical Facilitators and Academic Support;

  2. Assist the Capstone Clinical Facilitator with locating clinical sites;

  3. Coordinate with the Clinical Contract & Relationship Coordinator to assist with clinical appreciation efforts;

  4. Coordinate with the Clinical Contract & Relationship Coordinator to maintain and enhance our clinical relationships for each clinical site through site visits;

  5. Develops the quarterly clinical schedules, assures reporting accuracies, and distributes schedules to students, faculty, Clinical Facilitators and staff in a timely manner;

  6. Performs additional duties as assigned by the Director of Clinical Practicum/Placement.

Qualifications

  1. Proficient in use of Microsoft Office applications, especially Microsoft Excel and creating/reading spreadsheets.

  2. Detail-oriented with the ability to multi-task on a regular basis.

  3. Very strong organizational and time management skills.

  4. Maintain confidentiality of all business and student records.

  5. Experience in successfully managing complex organizations and projects.

  6. Able to pass an application verification/background check.

  7. Able to work effectively with clinical agencies, staff, faculty, and students as a member of a team.

  8. Experience in marketing, sales, or public relations is preferred.

  9. Bachelor Degree or 3-5 years scheduling experience and 1-2 years experience in health care or education, preferred.

  10. Possesses an unencumbered Colorado driver's license.

  11. Able to supply Business Office with copy of auto insurance.

  12. Able to communicate effectively verbally, through writing and through learning technologies such as computers and e-mail.

  13. Is a self motivator.

Classification

The Clinical Scheduling Coordinator is a full-time, non-exempt position. This is a campus-based position with limited off-site work, unless working directly with clinical agencies. The hours for this position are generally Monday through Friday, however hours may vary depending on scheduling needs.

Physical and Mental Requirements

To perform the essential competencies and responsibilities of the position, the Clinical Scheduling Coordinator is frequently required to sit, bend kneel, reach, stand for long periods, walk, talk, hear, use hands and fingers to operate computers and/or audiovisual equipment. This position may involve some travel; therefore, the Clinical Scheduling Coordinator must be able to safely operate a motor vehicle.
