Responsibilities

  • Serve as the first point of contact at the front desk, greeting visitors and managing inquiries with professionalism and warmth
  • Operate multi-line phone systems, handle incoming calls, direct messages, and provide excellent customer service
  • Manage calendar appointments, schedule meetings, and coordinate office events using tools like Teams and Microsoft Office
  • Perform data entry tasks accurately into various systems such as QuickBooks and other office management software
  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents and records
  • Support office management activities such as ordering supplies, maintaining inventory, and overseeing office equipment maintenance
  • Provide clerical support including scanning and mailing documents
  • Handle incoming emails and correspondence with promptness and professionalism
  • Assist with customer support efforts by addressing inquiries via phone or email efficiently and courteously
  • Contribute to a positive office environment through excellent phone etiquette and interpersonal skills

Qualifications

  • 1+ years of reception or administration role within an office setting
  • Strong computer literacy with proficiency in Excel and fundamental data entry skills
  • This department is team oriented so you must be able to work well with others in a collaborative way
  • Familiarity with QuickBooks for bookkeeping or financial record keeping is a bonus
  • Exceptional organizational skills with keen attention to detail; ability to multitask effectively in a fast-paced environment
  • Excellent communication skills
  • Demonstrated ability to manage time efficiently and prioritize tasks independently
  • Experience with front desk operations, multi-line phone systems, filing systems, proofreading, and calendar management is advantageous
  • Knowledge of office management best practices along with strong customer service orientation
