What You Will Do
This role leads cross-functional coordination with case management operations, legal, finance, field operations, and vendor partners to manage vehicle surrender, repair, auction, factory recovery claim processes, and financial reconciliation. The position ensures compliance with regulatory requirements, maximizes recovery value, and drives operational efficiency across the buyback lifecycle.
How You Will Make An Impact
- Responsible for coordination of the overall Customer Care buyback strategy and leading all downstream activities following vehicle surrender in the buyback and reacquisition process.
- Oversee all vehicle handling activities after vehicle surrender, including transportation, inspection, repair, and resale. Lead the administration of the reacquisition program, including policy development, process mapping, and performance tracking.
- Ensure timely and accurate processing of vehicle documentation, title transfers, and lien releases.
- Coordinate with auction partners and internal stakeholders to optimize resale outcomes and minimize holding costs.
- Manage third-party vendors (e.g., managed services, logistics providers, etc.) to ensure high performance, service-level compliance and cost control. Negotiate vendor contracts and monitor performance metrics such as turnaround time, cost per unit, and recovery rates.
- Responsibility of the ACL process (expense recovery from manufacturing plants) including the preparation of in-depth financial recaps and future projections.
- Develop and manage program budgets, including forecasting, cost analysis, and recovery optimization.
- Partner with finance and affiliate factories to reconcile buyback costs and track recovery revenue.
- Ensure compliance with state and federal regulations related to re-acquired vehicles, including lemon law disclosures and resale restrictions.
- Monitor and report on buyback reason coding and KPIs such as WIP, inventory aging, claim cycle time, and recovery rates to drive accountability and transparency.
- Lead cross-functional initiatives to streamline post-surrender workflows, reduce cycle times, and improve data accuracy.
- Collaborate with Strategy teams, IT and operations teams to enhance system capabilities and reporting tools.
- Collaborate with legal, case management operations, product quality, and field teams to address root causes and reduce future buybacks.
- Identify and implement best practices for vehicle disposition and cost recovery.
- Manage direct reports, effectively coach, counsel, and develop staff. Utilize the diverse talents of the staff by efficiently managing staff's time, materials and budget while focusing on the goals and vision of the company. Provide coaching, performance feedback, and career development support.
- Foster a culture of accountability, continuous improvement, and promote collaboration across departments to ensure alignment and knowledge sharing.
- This position has common senior manager-level authority as defined by HMA HR/Finance policy.
- Review of budgets submissions, forecasts, and ACLs (recoveries).
- Employment decision-making abilities in designated areas of responsibility.
- Review and approve deliverables from external suppliers and internal support departments, including but not limited to reports, analysis, and presentations. Involve department manager as needed.
What You Will Bring To The Role
- Bachelor's degree in Business, Automotive Management, or related field.
- Eight or more years of experience in automotive relating to retail, operations, warranty, or customer care, with at least 3 years in a leadership role.
- A solid understanding of how vehicles operate.
- Prior budget oversight preferred.
- Three or more years of supervisory experience preferred.
- Experience with buyback, reacquisition, or lemon law processes strongly preferred.
- Proven project management and coordination experience is a must.
- Strong financial acumen and experience managing budgets and vendor contracts.
- Excellent leadership, communication, and cross-functional collaboration skills.
- Proficient in Excel and MS Office tools.
- Presentation development (PowerPoint) and delivery skills.
- Knowledge of database querying (QMF, Oracle, QL Server and/or Access, etc.)
- Logical thinking and problem solving.
- Outstanding verbal and written communications and relationship-building skills to work successfully with a wide variety of people, including dealer service personnel, corporate executives, and vendors.
- Excellent time management and organizational skills.
