Job Overview

We are seeking a detail-oriented and proactive Purchasing Coordinator to join our team. The ideal candidate will play a crucial role in managing the procurement process, ensuring that materials and supplies are sourced efficiently to support our manufacturing operations. This position requires strong negotiation skills, experience with ERP systems, and a solid understanding of supply chain management.

Responsibilities

  • Source, negotiate, and purchase equipment, materials, and supplies needed for events and warehouse operations.
  • Build and maintain strong relationships with suppliers and vendors to ensure timely and cost-effective procurement.
  • Evaluate and compare vendor quotes and services to achieve optimal value and quality.
  • Monitor inventory levels of rental equipment, linens, décor, and consumables.
  • Coordinate with warehouse and operations teams to ensure accurate stock levels and timely replenishment.
  • Assist in tracking repairs, replacements, and retirements of inventory items.
  • Coordinate the delivery and return of purchased items to align with event schedules.
  • Communicate with internal departments (Sales, Operations, Warehouse) to forecast and fulfill inventory needs for upcoming events.
  • Assist in planning seasonal or event-specific bulk purchases.
  • Prepare and issue purchase orders, track orders, and follow up on outstanding deliveries.
  • Maintain up-to-date records of purchases, pricing, and vendor performance.
  • Assist with budget tracking and cost control for purchases.

Experience

  • Proven experience in purchasing or procurement management within a manufacturing environment.
  • Familiarity with ERP systems such as SAP or Oracle EBS is highly desirable.
  • Strong understanding of supply chain management principles, including inventory management and vendor management.
  • Demonstrated skills in negotiation, contract management, and pricing strategies.
  • Experience with MRP (Material Requirements Planning) processes is a plus.
  • Excellent organizational skills with the ability to manage multiple priorities effectively.
