Sr. Administrative Assistant, C Suite, Full time, Days

Job Description
Responsible for providing administrative support to ensure efficient operations supporting the Chief Nursing Officer at Chilton Medical Center. Position will support Chair through a variety of tasks related to organization, heavy calendar management and meeting planning. Constituent will handle confidential and sensitive material and is expected to communicate effectively via phone and email to ensure duties are completed accurately and timely.

Supports managers and employees through a variety of tasks related to organization and handles confidential and time sensitive material. Communicates effectively via phone and email and ensures that all Sr. Administrative Assistant duties are completed accurately and delivered with high quality in a timely manner.

Principal Accountabilities
Answers and directs phone calls and ensures the contact list is maintained.

• Organizes and schedules meetings and appointments, orders office supplies, prepares invoices and provides general support to visitors.
• Produces and distributes correspondence memos, letters, faxes and forms.
• Submits and reconciles expense reports and provides assistance in the preparation of regularly scheduled reports.
• Generates reports, handles multiple projects, develops and maintains a filing system including books travel arrangements
• Performs other related duties as assigned.
• Schedule travel, calendar and other organizational duties as needed and assigned
• Heavy calendar management

Required
QUALIFICATIONS

• Associates degree is Business management / administration or related field

Preferred

• Attention to detail and ability to perform in professional and confidential manner
• Excellent verbal and written communication skills
• Strong organizational and time management skills
• Proficiency in multiple software packages, including suite of Microsoft Office applications (Outlook, Teams, Word, Excel, SharePoint, PowerPoint, etc.)
• Bachelors degree preferred
• 3-5 years experience supporting executive level team members
