Junior Workplace Coordinator

The Facilities team at Groupon is responsible for creating a welcoming atmosphere across all of Groupon's international offices. We are looking for a Junior Workplace Coordinator to come and join the Chicago team As a Junior Workplace Coordinator, you will support daily office operations and ensure a safe, efficient, and welcoming workplace. This role involves coordinating facilities, security, and administrative tasks while working closely with internal teams and external vendors.

This role is part-time at a 50% capacity, with a preference for hours from 10:00 - 2:00pm CST. Hours may be adjusted as needed, with expectations for 4 hours minimum per day.

You'll spend time on the following:

• Overseeing postage and courier services.
• Maintain security awareness, emergency procedures, and office safety protocols.
• Take care of day to day front of house/reception duties including but not limited to: submitting work order tickets to building management, tracking facilities-related inventory, ensuring access cards are issued or deactivated, daily inspections of cleanliness of the office, office event arrangements, etc.
• Support workplace projects such as furniture moves (35-65lbs), space planning, facility maintenance, and coordinating office events.
• Utilities management such as verifying meter readings, cleaning air filters, plumbing inspections, and pest control efforts.

We're excited about you if you :

• Have 1-2 years of facilities/workplace management experience.
• Are detail-oriented and proactive.
• Have good communication skills, ability to build & maintain good relationships.
• Have good organization and problem-solving skills.
• Are familiar with Google Suite and able to learn additional tools required.
• Are confident in taking on facilities challenges to build up your own knowledge and expertise.

Week 1 Expectations:

• Getting familiar with the office
• Getting to know the daily routine
• Familiarize yourself with local teams and Head of departments
• Getting to know service departments - HR, IT, Legal, Finance and Steam members

Month 1 Expectations:

• Understanding offices across EMEA, NORAM and APAC (least)
• Getting to know departments stakeholders, customers and 3rd parties (building relations with individuals)
• Supporting the team in delivering teams KPIs

Month 3 Expectations:

• Owning KPIs
• Set responsibilities in terms of Office Management
• Supporting ongoing projects and working towards delivering quality solutions
• Suggesting for improvements where needed, with fresh eyes/ approach

In-Office Expectations: Monday - Friday from 10:00 - 2:00pm CST. Hours may be adjusted as needed, with expectations for 4 hours minimum per day.

Compensation: $25/hr
